Manage the executive team’s calendars and schedule meetings. Coordinate and manage projects from conception to completion. Organize and maintain files and records, both electronic and physical Answer and screen phone calls, emails and other correspondence Make travel arrangements and coordinate logistics for executive team members. Assist with the preparation of reports, presentations, and other documents. Manage and maintain office supplies and equipment. Vendor Management:
Create, maintain, and organize vendor profiles in Manatal (ATS) , ensuring accurate records and compliance documentation. Assist with vendor onboarding, ensuring all required documents (contracts, NDAs, compliance forms) are collected and stored securely. Track and manage vendor performance metrics, providing feedback to vendors and identifying top-performing partners. Maintain a consistent communication channel with vendors, handling inquiries, coordinating meetings, and resolving issues. Ensure vendor compliance with company policies and regulatory requirements, conducting periodic document reviews. Collaborate with Finance to verify vendor invoices, monitor payment status, and resolve payment discrepancies. Generate reports to provide insights into vendor performance, compliance status, and cost-effectiveness. Manage vendor renewals, terminations, and record archiving within the ATS. Qualifications for the Office Administrator High school diploma or equivalent required; Associates or Bachelors degree preferred. 2+ years of experience in office administration or a similar role. Experience with Applicant Tracking Systems (Manatal preferred). Strong organizational skills and attention to detail. Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams). Excellent written and verbal communication skills. Ability to multitask and prioritize in a fast-paced environment. Problem-solving skills and a proactive attitude. High level of professionalism and discretion. Ability to work in a fast-paced and deadline-driven environment.
Compensation Salary Range:
$41,600
- $52,000/year DOE The ideal candidate will have the ability to lead and execute initiatives with cross functional teams internally and externally to the organization.
