Position Overview The Office Administrator supports interdepartmental collaboration by enhancing communication, improving organizational efficiencies, and assisting all departments with documentation needs. Responsibilities include managing phone calls and general email lines, distributing information to the appropriate departments, and preparing essential documents to support preconstruction and estimation efforts. Key Responsibilities 1. Administrative Support Manage incoming calls, emails, and correspondence, ensuring timely and professional communication. Prepare and maintain project documentation, including contracts, submittals, RFIs, and change orders. Assist in preparing bid packages and maintaining bid logs. Upload and maintain accurate project data in the Fieldwire application. 2. Office Management Maintain office supplies and equipment, coordinating with vendors as needed. Ensure office organization, cleanliness, and compliance with safety standards. Manage schedules for meetings, project milestones, and staff assignments. 3. Financial & Payroll Support Process invoices, expense reports, and accounts payable/receivable. Support union payroll administration, including maintenance of monthly logs and reconciliations. Assist in tracking project budgets and expenses. 4. Human Resources Support Maintain field records, including certifications and training logs. Coordinate onboarding for new employees, including union membership documentation. Manage time tracking and attendance/hour records for field personnel to comply with BRJP and similar resident engagement programs. 5. Construction-Specific Tasks Update project schedules, working closely with project managers and superintendents. Qualifications 2+ years of office administration experience, ideally in the construction industry Familiarity with union construction processes and terminology is a plus Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Experience with construction management software (e.g., Procore, Fieldwire) is highly desirable Basic accounting knowledge is a plus Excellent organizational and multitasking abilities Strong written and verbal communication skills Ability to work independently and collaboratively in a team-oriented environment UDHG Benefits A friendly and supportive work environment Competitive pay and incentives For full-time employees, benefits include Medical, Dental, Vision, Life, Disability, and 401(k) plans.
