Office Manager Assistant Position Available In Cumberland, New Jersey

To support the GM at both the organizational and executive levels in managing facility operations, coordinating with internal and external stakeholders to ensure the regularity, quality, and timeliness of assigned tasks, promoting an image of seriousness and efficiency of the Company.

Job Details:

VISITOR RECEPTION

Welcomes and monitors access. In case of visitors, applies hygienic-sanitary and safety best practices, manages the confidentiality form, stores visitors’ personal belongings, and provides disposable clothing. Ensures that guests and visitors enter production areas only if accompanied, unless otherwise authorized.

Collaborates in the administrative management of transporters by verifying shipping documents and ensuring correct loading/unloading procedures. Manages incoming and outgoing administrative documentation, ensuring that all shipments are accompanied by correct and complete paperwork.

INTERNAL AND EXTERNAL

COMMUNICATIONAnswers phone calls and forwards them to the appropriate recipient, providing initial information about the caller. Acts as a liaison between the facility and the Italian headquarters, promptly informing the GM and relevant colleagues regarding issues, non-conformities, and updates.

ADMINISTRATIVE

ACTIVITIESPlans the welcoming and onboarding of new hires at the facility. Directly handles the purchase of consumables, informing and requesting prior approval from the GM. Prepares and/or verifies facility quality and production documentation. Drafts contracts for assigned suppliers and manages archiving and related deadlines and documentation. In support of and/or in the absence of the Office Manager, handles invoicing and customer management.
