Box Office Manager The Growing Stage:

The Children’s Theatre of New Jersey 7 Ledgewood Ave, Netcong, NJ 07857 Responsible, under the direction of the Managing Director, for daily Box Office operations including ticketing, emails, phone calls, and reporting while creating and maintaining strong patron relationships. The Box Office Manager will attend all performances and handle ticketing and any patron issues. Serve as Volunteer Manager, maintaining contact lists, creating sign-up sheets, and supervising volunteers on performance days. This is a full-time, salaried position.

  • Answer phone calls and emails from patrons.
  • Process ticket orders and exchanges over the phone and in person.
  • Create events in the ticketing system.
  • Pull Box Office reports and set up automated reports.
  • Prepare gift certificates for libraries and donation requests.
  • Engage continuously in managing patron relationships. This includes maintaining active communication with season subscribers, ticket holders, and donors via phone and email and ensuring that all questions and issues are handled quickly and effectively.
  • Maintain volunteer contact lists, create and send sign-up sheets for all performances and events where volunteers are needed, monitor sign-ups to ensure full coverage and track volunteer hours.
  • Inventory office supplies and report to Managing Director anything that needs to be ordered.
  • Prepare report to share updates and current numbers at weekly staff meetings.
  • Assist as needed with playbill printing.
  • Assist the Director of Marketing with patron lists, promotions, and relationships with libraries and local schools.
  • In advance of performances, prepare list of season subscribers and groups and label playbills.
  • Create and send ‘Know Before You Go’ emails and other patron communications.
  • Maintain list of active volunteers, create and maintain volunteer sign-ups, process new volunteers, and assign positions in advance of performances.
  • Additional duties as assigned and assisting other staff when needed.
  • Arrive at least two hours prior to all shows.
  • Check and respond to emails and voicemails.
  • Print Will Call tickets.
  • Double check Season Subscriber and group list in case there are any changes. Make sure labelled playbills match the list.
  • Put out labelled playbills to assign seats in the audience to season subscribers and groups and make the seating chart.
  • Assist other staff to make sure that all items on the pre-show checklist are complete.
  • Greet volunteers as they arrive and go over their assignments. Assist with pre-show tasks as needed.
  • Work the Box Office to hand out will call, sell walk-up tickets, and assist patrons with ticket reprinting or any other issues.
  • Assist volunteers and patrons with any front of house issues that may occur.
  • After the show begins, release volunteers and ensure they know when to return to their posts for either intermission or the end of the show as applicable. Help seat any patrons who arrive late.
  • Pull numbers for the Stage Manager of total tickets sold and total actual attendance.
  • After the show is over assist the volunteers and other staff with end of show duties to include: sweeping and mopping the floor, straightening or putting away chairs, taking out the garbage, restocking and light cleaning of the bathrooms, bringing in outdoor signs, vacuuming the lobby, charging iphones and ipads, and ensuring everything is restored to pre-show conditions.

Previous experience in box office management, ticketing operations, or a related field, preferably in a performing arts, live events, or venue setting is required. Knowledgeable use of Microsoft Office and Google Workspace and previous experience with ticketing software. The Growing Stage uses Choice Entertainment Technologies. Ability to analyze and interpret reports and create data lists and spreadsheets. Must generally exhibit positive attitude, be a good communicator, possess strong interpersonal skills, and have a high level of integrity and accountability in handling privileged and sensitive organizational and financial information. An interest and appreciation of the arts, especially theatre for young audiences, is especially desirable. Exemplary customer service skills and phone etiquette are essential along with strong typing, writing, and grammatical skills in formulating correspondence with patrons and others. Must present a friendly, open, and personable attitude to encourage good relationships with patrons. Must have strong organization, time management, and problem solving skills with the ability to handle multiple tasks each day, perform with attention to detail and with a high degree of professionalism. Should be self-motivated and reliable with a strong sense of responsibility and follow through. This position requires constant or frequent sitting, typing, talking, and hearing to fulfill essential job responsibilities. The position can require occasional lifting in relation to supplies and inventory. Show duties involve constant or frequent standing, walking, talking, hearing with occasional lifting and carrying in relation to set up and clean up. Must be available to work full-time including events on evenings and weekends. Box Office hours are Monday – Friday 10am – 3pm. Due to the nature of our business, there are times when employees will be required to work weekends, continuous days with long hours, and may work more than 40 hours during certain weeks. Every attempt is made to keep these occasions to a minimum by allowing for flex days off and schedule adjustments based around the theatre schedule. There is no regular mass transportation available so must have own reliable transportation. This is a salaried position of $45,000 plus fully employer-paid medical and dental insurance.
