The Consultation Center of the Roman Catholic Diocese provides psychological counseling, consultative services, and educational programming in the area of mental health, to individuals and groups, as well as a program of spiritual direction for those persons interested in developing a deeper relationship with God. The Billing and Office Manager holds responsibility, under the ultimate direction of the Executive Director, for financial management, reporting, and record keeping. Duties include day-to-day operations of the office consisting of scheduling, correspondence, record keeping, insurance and client billing, reimbursement for services, maintaining and ordering inventory, managing relations with vendors, and preparation of financial reports.

Functions/Responsibilities:

Particular aspects of this position require the maintenance of strict confidentiality.

Billing and Insurance:
  •  Facilitate and maintain counselors’ placement on insurance panels o Establishes and updates entries in professional qualification data bases (e.g. CAQH) o Responds to information requests from insurance companies and other data bases
  •  Manage multiple programs to process insurance claims through billing company, Prestige o Acts as liaison between office and Prestige Billing Company o Inputs new and/or updated client demographic and insurance information into databank for billing
  •  Prepare and mail monthly billing statements to clients and spiritual directees.
  •  Resolve issues related to client bills and payments.
  •  Consult with the Director of Clinical Operations to obtain information necessary for insurance billing (e.

g., diagnosis code)

Financial Management:
  •  Prepare and process invoices and reimbursements for counselors and spiritual directors through the diocesan Finance Office
  •  Track and assure the proper payment of all operating expenses
  •  Oversee administration of client and insurance receipts
  •  Make weekly deposits of receipts
  •  Manage Holy Grounds grant and tuition money and disbursements; process reimbursement vouchers, financial administration of the Holy Ground spiritual direction training program
  •  Prepare monthly financial reports for the Board of Directors and the Diocese of Albany as required by the Diocese and the Constitution of the
Consultation Center Reporting and Record Keeping:
  •  Confirm record of counselors’ and spiritual directors’ hours for reimbursement
  •  Oversee the maintenance of fiscal, operating, and client records
  •  Assure timely submission of all reports required by any federal, state, local, diocesan agencies of Board of Directors
  •  Maintain essential counselor file information (copies of current license/registration, annual proof of malpractice insurance, etc.

)

Required Skills:
  •  Experience with medical office billing practices and procedures
  •  Working knowledge of accounting, data and administrative processes and principles
  •  Proficiency in Microsoft Office
  •  Ability to operate standard office equipment
  •  Professional and courteous communication skills to interact with all levels of staff, clients, and vendors, fostering a positive and collaborative work environment
  •  Sensitivity to mental health issues and concerns
  •  Proven ability to work independently as well as part of a collaborative team
  •  Ability to be flexible and manage multiple tasks, prioritize effectively, meet required submission deadlines, and identify solutions to various operating challenges
  •  Knowledge of and respect for the traditions and teachings of the Roman Catholic faith
Additional Information:

Mon. – Fri., 8:30am to 4:00pm (35 hours per week)
