- Part-Time with flexible schedule Part-time position with a flexible schedule for a small business in the construction and roofing industry, Wappingers Falls, New York.
We are seeking a highly organized, proactive, and detail-oriented Office Manager to oversee our daily office operations and ensure a smooth and efficient work environment. The ideal candidate will be a self-starter with proven experience in general bookkeeping, utilizing QuickBooks Online and managing a variety of office procedures. You will be a key player in supporting our team and contributing to our overall success.
Responsibilities:
Bookkeeping & Financial Administration:
- Manage day-to-day bookkeeping tasks, including processing invoices, payments, and receipts.
- Utilize QuickBooks Online to accurately record financial transactions, including the correct application of sales tax based on location and product/service.
- Reconcile bank and credit card statements.
- Process weekly payroll with payroll provider.
- Prepare insurance audits as requested.
- Maintain accurate financial records and documentation, including monthly sales tax filing.
- Assist with budget tracking and expense management.
General Bookkeeping:
- Maintain accounts payable and accounts receivable records.
- Assist with month-end and year-end closing procedures.
- Ensure compliance with relevant financial regulations, including sales tax regulations in New York State.
Office Operations & Administration:
- Organize and maintain physical and digital filing systems.
- Handle incoming and outgoing mail, packages, and deliveries.
- Manage phone calls and act as a point of contact for customers.
- Assist with onboarding new employees (e.
g., paperwork, office setup).
Qualifications :
- Minimum 1 year experience with strong proficiency in QuickBooks Online is essential.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Proven experience as an Office Manager or in a similar administrative role with significant bookkeeping responsibilities.
- Solid understanding of general bookkeeping principles and practices, including the application and reporting of sales tax in New York State.
- Excellent organizational, time management, and multitasking skills.
- Exceptional attention to detail and accuracy.
- Ability to work independently, prioritize tasks, and meet deadlines.
- A proactive and problem-solving attitude.
