Job Summary:

McGuire’s Cleaning Service is seeking an experienced Office Manager to oversee our daily operations, ensure seamless client experiences, and provide essential support to our dedicated cleaning teams. Key Responsibilities:

As Office Manager, you will be pivotal in ensuring our operations run smoothly and efficiently.

Your responsibilities will include:
Operational Oversight & Scheduling:

Manage and optimize daily and weekly cleaning schedules for all cleaning technicians and client appointments. Coordinate efficiently with Lead Cleaners for team dispatch, route planning, and on-site operational support. Handle schedule changes, cancellations, and re-bookings with minimal disruption, proactively communicating adjustments.

Client & Customer Service:

Serve as the primary point of contact for all client inquiries via phone and email. Manage the sales process from detailed intake calls to estimate generation and service agreement finalization. Address client feedback, concerns, and resolve issues promptly and courteously to ensure high satisfaction. Maintain and update comprehensive client information, preferences, and special instructions within our systems.

Team Support & Coordination:

Provide direct supervision and support to in-office administrative staff, guiding their daily tasks in payments, client relations, work orders, and filing. Facilitate effective communication between the administrative office and field teams (Lead Cleaners and Cleaning Technicians), especially during morning and evening check-ins. Assist with new employee onboarding for both office and field staff, focusing on administrative procedures and company policies. Coordinate closely with our Bookkeeper & Payroll Specialist, ensuring accurate data flow for bookkeeping and timely payroll processing.

Administrative & Financial Coordination:

Oversee client invoicing, payment processing, and tracking of outstanding balances. Coordinate with bookkeeping oversight and sales tax compliance, ensuring all financial data is meticulously prepared. Manage inventory of office and cleaning supplies, placing orders as needed to maintain adequate stock levels. Maintain organized digital and physical files for clients, employees, and critical business records.

Problem-Solving & Efficiency:

Proactively identify and resolve operational challenges (e.g., cleaner call-outs, equipment issues, scheduling conflicts). Continuously seek and implement solutions that improve operational efficiency, team communication, and client satisfaction. Experience:

Proven experience (e.g., 3+ years) in an administrative, office management, or operations coordination role, preferably within a service-based industry (e.g., cleaning, home services, hospitality).

Leadership & Coordination:

Demonstrated ability to lead, motivate, and coordinate a team, ensuring tasks are completed efficiently and to high standards.

Organizational Excellence:

Exceptional organizational skills with meticulous attention to detail in managing schedules, records, and communications.

Communication Mastery:

Superior verbal and written communication skills, with the ability to interact professionally and effectively with clients, staff, and management.

Tech-Savvy:

Proficiency with Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace. Experience with scheduling software, CRM systems, and QuickBooks is highly desirable.

Problem-Solver:

Strong critical thinking and problem-solving abilities, capable of making sound decisions independently and under pressure.

Customer-Centric:

A strong customer service orientation with a professional, empathetic, and friendly demeanor.

Physical Requirements:

Primarily an office-based role; requires extended periods of sitting, standing, and working at a computer.

Requirements:

High School Diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
