Officer Manager – Small to Medium Law Firm Leeds Brown Law, P.C. Mineola, NY 11501 Job Overview Our law firm seeks a professional Office Manager with significant experience managing staff, preferably in a legal environment. The position would oversee a staff of 5 to 10 receptionist, paralegals, office assistants, and legal assistants, but will not be required to oversee attorneys. This role is crucial for supporting office functions, handling financial transactions, and providing oversight of the support staff — meanwhile reporting to the attorneys and partners on active cases and office assignments. The ideal candidate will exhibit strong conflict management skills, a commitment to our clients, and the ability to handle various situations with professionalism and integrity. Responsibilities Manage the support staff of non-paralegals, including their job duties and responsibilities. Maintain software systems for client billing and expenses. Maintain financial documents and information related to firm and client accounts, including escrow accounts. Handle HR and employment issues like payroll, 401k, and health insurance — and coordinate between staff and third-party providers. Report to partners on staff responsibilities and performance. Conduct training and on-boarding for new employees — as well as enforce firm policies. Ensure the needs of attorneys are met. Maintain and oversee daily operations at the office location, including computers, scheduling, software licenses, and other assets. Maintain an active list of cases and assignments. Requirements College degree required; additional licenses or graduate degree helpful. 10+ years of managerial experience supervising 3 or more full-time employees required. Excellent communication skills, both verbal and written. Organizational skills are critical to this position, including the ability to digest significant amounts of information and ensure they end up in the proper place. Ability to physically be present at the office, and work additional hours as needed. Knowledge of QuickBooks and/or Timeslips, preferred. The ability to adapt to shifts in priorities and perform high-level executive functions.
