GENERAL POSITION SUMMARY

: Pest Hunters Unlimited is seeking an experienced Office Manager responsible for overseeing the daily administrative operations of our pest control company. This role ensures efficient office procedures, manages customer service, supports field technicians, and maintains compliance with industry regulations. The Office Manager serves as the central communication hub between clients, tenants, technicians and management, ensuring that service delivery is smooth, timely and customer-focused. You will report to the Company Principal. Essential Duties/Major Responsibilities (any or all duties may be performed): Scheduling and Dispatching. Coordinate the scheduling of pest control services with customers, tenants, management and dispatch technicians to their designated locations. This involves efficiently managing the daily schedules to optimize productivity. Customer Service. Interact with customers, tenants, management to address inquiries, schedule appointments, and handle complaints or concerns. Providing excellent customer service is crucial for maintaining client satisfaction and loyalty. Billing and Invoicing. Manage billing processes, including generating invoices, processing payments, and following up on outstanding accounts receivable. Keeping accurate financial records is essential for the company’s financial health. Inventory Management. Monitor inventory levels of pest control products and equipment, and place orders for replenishment as needed. Ensuring that technicians have access to the necessary resources enables them to perform their jobs effectively. Office Administration. Handle general office duties such as answering phones, responding to emails, filing paperwork, and maintaining office supplies. Keeping the office organized and running smoothly is fundamental to supporting the entire team. Safety and Compliance. Ensure that all company procedures and protocols, as well as industry regulations, are followed to maintain a safe working environment for employees and compliance with legal requirements. Training and Development. Coordinate training programs for technicians to ensure they are up-to-date on the latest pest control techniques, safety procedures, and regulatory standards Marketing and Sales Support. Assist with marketing efforts by coordinating promotional campaigns, managing social media accounts, and providing support for sales initiatives to attract new customers and retain existing ones. Other duties as assigned.

Desired Minimum Qualifications:

Previous office experience. Good communication skills (verbal and written) Strong organizational and time management skills. Proficient with taking and uploading digital photographs. Able to troubleshoot difficult customers/tenants/management company personnel. Able to handle conflict and situations when a tenant/customer/worker is rude, unpleasant or angry Coordinate service with tenants / customers and handle complaints professionally Able to follow written and verbal instructions. Great attention to details, positive attitude and a strong work ethic. Work effectively as part of a team

Special Requirements:

Valid New York driver’s license High School Diploma or GED Proficient in Microsoft 365, including good Excel skills

Physical Activities:

The majority of the time is spent in the office performing administrative duties. However, the job will require sporadic field visits to the multiple management site offices for meetings or document pick-up/drop-off, post office runs, etc. Regularly visit job sites, to meet with the management team, in a car, truck, public transportation or walk.

Work Environment:

The job involves the following: Work somewhat close to other people, such as when sharing office space. Often meet in buildings without heating or air conditioning, such as portable trailers, cellars or unfinished structures under construction. Must be able to understand and be understood in the English language Spanish speaking is preferred but not mandatory.
