Marina Owner Job Summary:

We are seeking a highly organized, proactive, and reliable individual to fill the position of Executive Assistant to the owner. The Executive Assistant will provide comprehensive administrative and operational support to the owner ensuring the smooth functioning of daily activities and contributing to the overall success of the organization. This is a key role that requires exceptional communication skills, attention to detail, and the ability to handle confidential information with utmost discretion.

Responsibilities:

Calendar and Schedule Management:

Efficiently manage the OWNER’s calendar, coordinating appointments, meetings, and travel arrangements. Anticipate scheduling conflicts and proactively resolve them to maximize the OWNER’s productivity. 2.

Correspondence and Communication:

Act as the primary point of contact for internal and external stakeholders, including customers, partners, and employees. Draft and proofread correspondence, reports, presentations, and other documents on behalf of the OWNER. Respond to emails and inquiries promptly and professionally. 3.

Meeting Coordination and Support:

Arrange, prepare, and coordinate meetings, conferences, and events for the OWNER. This includes scheduling, logistics, agenda preparation, venue selection, and coordination with participants. Take minutes and follow up on action items as required. 4.

Travel Arrangements:

Coordinate all aspects of domestic and international travel for the OWNER, including flights, accommodations, ground transportation, and visas. Ensure travel itineraries are well-organized and aligned with the OWNER’s preferences and business requirements. 5.

Information Management:

Organize and maintain electronic and physical files, ensuring easy accessibility and confidentiality. Manage the OWNER’s contacts, ensuring accuracy and updating information as needed. 6.

Research and Analysis:

Conduct research and compile relevant information for the OWNER’s projects, presentations, and strategic initiatives. Provide summarized reports and recommendations to assist in decision-making processes. 7.

Office Operations:

Oversee general office operations and administrative tasks, including office supplies management, equipment maintenance, and document control. Collaborate with other team members to ensure smooth day-to-day operations. 8.

Confidentiality and Discretion:

Handle sensitive and confidential information with the highest level of professionalism, discretion, and integrity. Maintain strict confidentiality of executive discussions, decisions, and company-related matters. 9.

Relationship Building:

Foster positive working relationships with internal and external stakeholders, representing the OWNER professionally and maintaining a high level of professionalism and diplomacy in all interactions. 10. New Boat Sales

  • New boat documentation with the DMV. Handle bank transactions for loan documents 11. Data Entry for book keeping
  • Scanning bills for accounting team, handling customer inquiries 12. Answering the phone lines
  • handle all incoming calls to the marina and route the appropriate department.
Qualifications:
  • Proven experience as an executive assistant or similar role, preferably supporting C-suite executives.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines.
  • Excellent written and verbal communication skills, including the ability to draft professional correspondence and communicate with stakeholders at all levels.
  • Strong attention to detail and problem-solving abilities.
  • Proficient in using office productivity tools, such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms.
  • Ability to handle confidential and sensitive information with discretion and maintain a high level of professionalism.
  • Flexible and adaptable, able to work in a fast-paced environment and manage multiple tasks simultaneously.
  • Strong interpersonal skills and the ability to work collaboratively with a diverse range of people.
  • Knowledge of the marine industry or previous experience working in a marina environment is desirable but not required.
