Business Office Manager 3.2 3.2 out of 5 stars 110 East 4th Street, Emporium, PA 15834 Job Overview We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong leadership skills and be adept at managing various administrative and accounting tasks. This role is essential in maintaining a productive workspace and fostering effective communication within the team. Duties Manage office operations, including filing, organizing documents, and maintaining office supplies. Coordinate event planning for meetings, conferences, and team-building activities. Support administrative staff, ensuring efficient workflow and team collaboration. Handle vendor management, including negotiating contracts and maintaining relationships with service providers. Utilize QuickBooks for managing financial records, invoicing, and budgeting tasks. Maintain professional phone etiquette while answering calls and directing inquiries appropriately. Communicate effectively with team members and external partners to facilitate smooth operations. Responsible to manage the day to day operations of the office. Prepares payroll and proper reports associated with the system. Accounts payable – responsible to ensure all current liabilities for the company are paid in a timely manner. Establish lines of credit/set up files on vendors. Accounts receivable – responsible for collecting money from clients/insurance companies/governing agencies for services delivered. Bills insurances with proper codes. Develop plans to improve efficiency and reduce office costs. Ensure that the office has the equipment and supplies required Responsible for setting up new employees and handling the employee benefit and insurance programs. Keeps management informed by providing special reports; summarizing information; and identifying trends. Maintains professional and technical knowledge by attending educational workshops Achieves financial objectives by assisting in maintaining budget; keeping expenditures in check; and initiating corrective actions as necessary. Requirements Knowledge of topics such as Medicare, Occupational Safety and Health Administration, HIPPAA. Strong organizational skills with the ability to multitask and prioritize effectively. Experience in event planning is a plus. Excellent team management capabilities to lead and motivate staff. Proficiency in QuickBooks or similar accounting software is preferred. Experience with General Accounting Concepts is a plus Exceptional communication skills, both verbal and written. Ability to maintain confidentiality and handle sensitive information responsibly.
