Job Summary As the Director of First Impressions, you are the first point of contact for our clients, visitors, and staff. While the position does include many administrative responsibilities, this is not an entry-level position. This vital position requires an outgoing and professional demeanor, the ability to multi-task, exceptional organizational skills, and a commitment to provide outstanding client service. The ideal candidate will excel in administrative tasks, take ownership of creating and maintaining a welcoming and organized office environment, and efficiently manage office operations. Responsibilities Greet and assist visitors and clients with a prompt, warm, and professional approach, and maintain meticulous documentation of client interactions. Address client inquiries and account issues, resolving issues promptly and professionally. Manage the office operations, from ensuring accounts are in good order to office inventory and supply ordering Assist with property management of the building Handle calendar management for team members, scheduling appointments and prioritizing meetings to optimize their time. Work with the advisory team to manage the preparation for upcoming client appointments, ensuring a seamless client experience Perform clerical duties including data entry, filing, document preparation. Assist in event planning and coordination for company functions and meetings. Maintain an organized office environment that reflects the company’s values and professionalism. Promote a positive team environment, encouraging collaboration and open communication with an upbeat attitude. Work closely with the Director of Operations & Marketing on Firm marketing as needed and operational needs of the Firm Qualifications Bachelor’s Degree or equivalent, preferred. Financial industry experience, preferred. Proven experience in office management and administrative or clerical roles, preferably in a front desk capacity. Excellent communication skills, both verbal and written. Strong client service skills with the ability to communicate effectively with diverse audiences. Proficient in calendar management and office software applications. Excellent proofreading skills with keen attention to detail. Proficiency with office software (e.g. DocuSign, Microsoft Office Suite, Salesforce, Calendly) and willingness to learn new tools. Strong organizational skills with the ability to multitask in a fast-paced environment. A proactive attitude towards problem-solving and improving office processes. Ability to take direction and to work collaboratively within a team while also being self-motivated. Adaptable and resilient, with a positive attitude towards challenges and change.
