Job Summary:
Cooper Mechanical Solutions is seeking an experienced, detail-oriented Estimating Administrator / Office Manager to support our estimating and project coordination efforts, ensuring efficient workflow from bid opportunity to project completion, while also managing various office administration tasks.
Key Responsibilities:
Estimating & Bid Coordination:
Coordinate Estimating Documents/Packages, including notifying stakeholders of new bid opportunities and acquiring/disbursing bid documents. Create bid folders and add bid calendar due dates and pre-bid information, with follow-up on pre-bids. Distribute any issued addenda. Invite subcontractors/vendors through BidTracer and update all bid information, including any issued Addenda. Create projects in document control software and send any required RFIs. Review specifications for bond and insurance information. Notify stakeholders and complete contractor prequalification paperwork (e.g., SDB or RCO) if required. Extract all bid forms required for submission and complete them with signatures and any needed attachments. Print drawings as needed. Deliver/submit bid packages to the bid location, either in person or through electronic submission, ensuring timeliness. Provide bid results to stakeholders and save in the project folder. Project Coordination (Post-Award): Upon receipt of a Notice to Award, compile bonds, contract paperwork, insurance, and clearances per instructions. Verify that the contract is for the correct amount and facilitate signing by necessary stakeholders Issue subcontracts to subcontractors as necessary. Maintain the project folder with updates as needed. Print/Scan drawings as needed. Prepare and submit certified payrolls for Company & any subcontractors. Continue throughout the contract to issue RFIs, Change Orders, and Submittals. Answer emails from the building Owner/CM during construction. Create operation and maintenance manuals in conjunction with project managers. Produce special requirements such as Minority Reporting. Assist with Pay Applications Office Administration & Support (Other Duties): Act as backup Service Dispatcher, create service calls, and answer phones. Issue purchase orders as necessary. Maintain and update apprentice hours monthly. Schedule the Monthly Manpower Meetings, update spreadsheets, and order lunches. Maintain/Order Insurance COI. Maintain/Complete Township License requests and maintain Trade Licenses (PHILA/DE/SAM etc.). Produce UPS tickets. Order supplies and create forms for the shop. Maintain Storage Box Information. Serve as the contact for the cleaners and for Construction Deliveries. Maintain all copier/Wide Format Contracts/Supplies. Update “On Hold” Messages. Organize parties/celebrations.
Qualifications:
An experienced, detail-oriented person. Strong computer skills are required. Past experience in MEP construction is a plus. Past experience with Google Workspace, ComputerEase, and ProjectDoc Control would be a plus. Ability to format and write letters. Time management skills. Must possess strong communication skills.
