Our world-class team of human and animal health veterans has an enviable track record of success, and now we’re looking for a highly capable Office Administrator to join our growing, international team. We’re seeking a candidate bilingual in both English and French, to play a vital part in coordinating our operations in the United States, Australia and France. Join us and play a key role in bringing gene therapies and cutting-edge therapies to animal medicine, to improve the quality of life for animals and their owners. Our labs are based in the historic Curtis Building in beautiful Old City, Philadelphia.

ABOUT THE ROLE

Reporting to the divisional CEO, this new role will provide high-level administrative support across the business, ensuring smooth day-to-day operations within the office. Based onsite, the Office Administrator will be responsible for managing key administrative functions, coordinating internal and external communications, and supporting senior leadership in a dynamic and fast-paced environment. Bilingual fluency in both English and French is essential to liaise effectively with global stakeholders. Key areas of responsibility Provide executive-level administrative support to senior leaders, including calendar management, meeting coordination, and travel arrangements. Serve as the primary point of contact for general office operations, maintaining supplies, coordinating office maintenance, and ensuring a professional work environment. Prepare, proofread, and translate internal documents and external correspondence in both English and French. Liaise with vendors, service providers, and partners to manage office contracts, deliveries, and logistics. Assist in organizing company-wide meetings, team events, and external engagements. Maintain internal filing systems and ensure proper documentation control (digital and physical). Support finance and HR functions, including invoice processing, onboarding logistics, and employee record maintenance. Act as a point of contact for visitors, coordinating meeting room bookings and reception duties as needed.

ABOUT YOU

You will have: Essentials Minimum 5 years of experience in an administrative or office management role, preferably within a corporate or scientific environment. Bilingual proficiency in English and French , with strong written and verbal communication skills in both languages. Key Skills, Knowledge & Attributes Exceptional organizational and time-management skills with a proactive, solutions-focused mindset. High attention to detail and the ability to multitask across competing priorities. Strong interpersonal skills and ability to communicate with professionalism across all levels of the organization. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office software. Ability to maintain confidentiality and handle sensitive information with discretion. Demonstrated ability to work independently and collaboratively within a team. environment.
