Full-Time YESPhilly Accelerated High School is a small school serving youth and young adults ages 16 through 21 who have previously disengaged from Philadelphia Public Schools. YESPhilly has a strong youth engagement/development model that helps students address many of the challenges they face academically, emotionally, and socially while preparing them for a successful transition to post-secondary training or employment. We are looking for a passionate, energetic, Office Manager to add to our team.

Job Summary:

The Office Manager is responsible for ensuring the efficient daily operation of the school’s front office and administrative systems. This role supports school leadership by managing administrative logistics, supporting human resources processes, assisting with finance-related tasks, and playing a key role in student recruitment and enrollment. The Office Manager is a key point of contact for staff, students, families, and external partners, and helps maintain a professional, welcoming, and organized school environment.

Essential Functions:
Office and Administrative Operations:

Manage day-to-day office functions, ensuring the front office runs smoothly and professionally Serve as the first point of contact for phone calls, visitors, student entry, deliveries, general inquiries, early dismissals, and late arrivals Maintain school and administrative calendars, schedules, and office supply inventories Organize and maintain digital and physical records and filing systems Coordinate logistics for school events, meetings, and professional development sessions Support leadership with scheduling, communications, and clerical tasks as needed Process unexcused absences in the Student Information System (SIS) Reconcile attendance daily in the Student Information System (SIS) Serve as Administrator for the

Spring and Fall Keystone Exams Human Resource Suppport:

Assist with employee onboarding, including collecting documentation, assigning technology, and conducting orientation tasks Maintain accurate and confidential employee records and personnel files Track employee time-off requests and attendance records Support compliance with HR policies, clearances, and required training Serve as a liaison between school staff and external HR/payroll service providers when needed

Finance Related Responsibilities:

Assist with processing invoices, purchase orders, and vendor payments Manage petty cash and reconcile small expenditures Coordinate the collection and submission of payroll documentation Help track departmental budgets and support reporting on expenses Work closely with leadership to ensure financial procedures are followed and records are accurate Support the development and execution of student recruitment efforts, including outreach communications and event coordination Serve as the primary point of contact for prospective students and families during the enrollment process Manage enrollment paperwork, student records, and data entry into the school’s Student Information System (SIS) Maintain up-to-date enrollment rosters and communicate regularly with school staff about enrollment status and projections Collaborate with leadership on enrollment targets and marketing strategies Requirements Effective communication, both orally and in writing Ability to establish and maintain effective working relationships with faculty, administrators, supportive staff, parents, and students Belief that all students should be held to rigorous standards Openness to restorative and collaborative problem-solving Eagerness to creatively and thoughtfully engage students in ways that connect to their communities and the world, including understanding historical and current community empowerment and civil rights issues Drive for professional development, growth, and personal improvement Successful experience in an urban middle or high school or other setting serving under-resourced youth (preferred)

Qualifications:

Candidates must meet all minimum qualifications at the time of application or obtain them within 30 days of the start of employment . Continued employment is contingent upon fulfilling these requirements within the specified timeframe. Associate’s or Bachelor’s degree preferred; equivalent work experience in office management, administration, or operations accepted 3+ years of experience in office administration, preferably in a school or nonprofit environment Basic knowledge of human resources, finance, and enrollment processes Strong organizational and problem-solving skills Excellent communication and interpersonal abilities Proficiency in Microsoft Office, Google Workspace, and common administrative software Ability to handle confidential information with discretion and professionalism. Familiarity with Student Information Systems and QuickBooks is a plus

Work Environment:

This role is based on-site at the school. Requires regular interaction with students, families, staff, and outside partners. May occasionally require evening or weekend availability for school events or enrollment activities.

Salary Range:

$57,000.00-$62,000.00
