Charlestown Urgent Care is a community-focused, high-quality medical facility committed to providing accessible, patient-centered care. We are currently seeking a proactive, highly organized Office Manager to oversee day-to-day operations, coordinate staff and schedules, and manage the administrative and financial functions that keep our urgent care center running smoothly.
Key Responsibilities Staffing & Scheduling:
Manage staffing, create and update monthly staffing schedule for employees and providers
Billing Oversight:
Supervise billing services to ensure timely and accurate claim submission and correction Stay current with insurance policies, plan changes, and billing regulations
Financial Management:
Process weekly payroll, confirm employee time punches against schedule Manage PTO balances and coordinate updates to payroll Pay invoices (e.g., rent, utilities, supplies, tech services, credit cards) Maintain accurate bookkeeping and financial records
EHR & Practice Software:
Strong working knowledge of eClinicalWorks (eCW) preferred Includes patient check-in, scheduling, claims processing, insurance eligibility, and payment posting.
Business Operations:
Manage and evaluate advertising opportunities; determine cost-effectiveness Maintain relationships with local organizations such as the South County Chamber of Commerce Monitor and respond to overall business needs and growth opportunities Ensure compliance with inspections, business licenses, and local regulations Qualifications Proven experience as an Office Manager, preferably in a healthcare or urgent care setting Experience with eClinicalWorks (eCW) is strongly preferred Familiarity with Trizetto, insurance credentialing, and ERA processing Strong organizational and communication skills Ability to handle time-sensitive issues and facility maintenance Understanding of payroll, scheduling, billing, and vendor management Commitment to a patient-first mindset and supportive team environment Compensation & Benefits Flexible schedule and work-from-home opportunities Paid time off (PTO) Professional development opportunities Supportive and collaborative team culture Please apply on indeed or send cover letter and resume to: cbowden.chuc@gmail.com
