Office Manager/Administrative Assistant O’Hara Outdoors 190 May River Rd, Bluffton, SC 29910 O’Hara Outdoors is a leading full-service landscaping company serving the Greater Bluffton, South Carolina area. We are looking for a dependable and detail-oriented Office Manager to oversee daily administrative operations and contribute to a collaborative and efficient office environment. Familiarity with the local Bluffton area is essential, as this role supports branch leadership in coordinating services, communication, and logistics across the region.
Key Responsibilities:
Serve as the primary point of contact for incoming phone calls; monitor and respond to voicemails promptly and professionally. Monitor and manage the company’s general email inbox; respond to inquiries or route them to the appropriate team members in a timely manner. Accurately enter and maintain client records in the company’s CRM software (Aspire), ensuring data integrity and timely updates. Process daily customer payments received by phone, mail, or in person, and coordinate with the accounting team as needed. Assist the Branch Manager with the preparation and submission of expense reports and other administrative documentation. Maintain and organize digital and physical filing systems to support efficient record-keeping and compliance. Provide general administrative support to team members and assist with ad-hoc tasks and projects as assigned. Schedule and manage appointments and calendar invites for the sales team using Outlook, ensuring alignment and efficiency. Lead or support the planning and execution of branch events, such as seasonal celebrations, employee appreciation events, and team meetings. Oversee the ordering, inventory, and distribution of office and operational supplies to ensure branch needs are consistently met. Support HR functions including onboarding and offboarding processes, maintaining employee records, and coordinating with corporate HR as needed. Assist the payroll process by collecting, verifying, and submitting timesheet data, and ensuring timely communication of any discrepancies. Assist in the procurement of job materials and manage purchase receipts and documentation within Aspire. Distribute company marketing materials as needed to support branding and business development efforts. Complete various data entry and reporting projects with accuracy and timeliness as assigned. Provide proactive communication and foster positive working relationships with O’Hara Outdoors staff across departments. Maintain professional, responsive communication and relationships with vendors, supporting operational needs and resolving issues as necessary. Demonstrate proficiency in Microsoft Office applications (Word, Excel, PowerPoint) to support documentation, communication, and reporting. Remain accessible during scheduled work hours via phone, text, or email to ensure timely communication and support. Work schedule and on-site expectations will be determined in coordination with the Branch Manager and documented accordingly.
