Full Job Description Office Administrator/Bookkeeper Requirements:

 Minimum of associate’s degree or five years of experience with data entry in a small and medium size manufacturing environment. Must be well organized, superior attention to detail, customer-service skills, solid communication skills, both written and verbal, be flexible. Working knowledge of Microsoft Office business software required with ERP-software experience as a plus. Basic understanding of bookkeeping.

Job Description:

 The Office Administrator/Bookkeeper is responsible for managing office operations, facilitating communication, maintaining office supplies and office needs. Will assist with various administrative tasks to support the organization’s efficient functioning. Works with the accounting team and CFO on various tasks below as assigned. Works collaboratively with staff members from other departments to achieve organizational goals.

Duties :

Administrative Support

  • Perform clerical duties such as printing, copying, filing of paperwork (physical/electronical), organizing, data entry, daily mail
  • Manage incoming and outgoing correspondence: assist in monitoring shared mailboxes and calendars for office and accounting and assist with communication where needed
  • Answer main phone line and direct phone calls to the appropriate personnel
  • Greet visitors and customers in a professional and friendly manner and direct them to the relevant office/personnel
  • Organize hotel, transportation, entertainment, etc. for visitors, fostering positive relationships with business partners
  • Support various departments with administrative tasks as needed Financial Assistance
  • Assist with basic bookkeeping tasks, such as organizing and entering invoices, commission notes and receivables, invoicing, assisting with accounts receivables follow-up
  • Company credit cards: assist in managing online system, obtaining, reviewing of expense reports, and bookkeeping accounts Data Entry and Recordkeeping
  • Ensure the accuracy and confidentiality of company records and data
  • Responsible for entering of new business partners (customers/suppliers) in database in “LN” and ensuring that all info is available; contact with customers/suppliers/Sales team to obtain critical data; record keeping assuring compliance; maintain database; perform credit checks on business partners Office Management
  • Maintain office supplies inventory and place orders as necessary, support other departments with amazon requests
  • Assist with Company’s physical infrastructure, physical plant, and maintenance: first contact to the landlord
  • Assist Marketing with event planning (venue research, getting rates, event coordination, restaurant reservations, etc.)
  • Support with New hire task (scheduling interviews, set up assessments and interview follow-up, welcome boxes, print packets, scheduling of employee trainings, etc.

) Other duties as assigned are to assist the finance department when needed due to changes with the growing business.
