Job Description:

The Front Desk Supervisor is responsible for overseeing the front desk staff in collaboration with the Clinic Manager at all LOA locations . This role manages and coordinates the operations and activities of the office staff to achieve patient satisfaction, quality service, and compliance with established procedures/policies. Responsibilities Coordinates duties and activities of all front office staff. Completes employee job assignment schedule at least one week in advance. Greets and directs patients and visitors ensuring HIPAA and policy compliance. Ensures telephones are answered timely and messages are taken accordingly. Tracks patients upon arrival to the next point of service and exits them when patient has completed their service. Ensures all patients are checked out timely and appointments have been made correctly. Shows concern for our patients by listening, empathizing and responding promptly. Oversees collection and input of information. Ensures payments are collected and posted accurately or patients were directed to Accounts Receivable. Maintains appointment scheduler to run efficiently and orderly. Ensure all front office checklists are completed in a timely manner. Ensures all cancelled appointments are dictated and no shows are followed up on a daily basis. Ensures completion of medical history and information forms, accurate input into the Practice Management System and timely submission to the Transcription Department. Responsible for provider schedules and schedule utilization. Will monitor provider schedules for unavailable time, overbooked schedules, and non-booked appointments. Coordinates incoming and outgoing interoffice mail with the courier. Supervises, trains, orients, and evaluates performance of Front Desk Team. Coordinates with the Clinic Manager as needed with scheduling staff to meet changing workload needs. Monitors staff workload and productivity to ensure front office processes run efficiently. Identifies training needs for staff. Participates in the development, implementation and evaluation of training, orientation and education programs. Assist with developing, implementing, and revising procedures to improve the quality and quantity of work processed. Actively participates in the interviewing process of front office receptionists. Assists in the annual evaluation of front office staff, as assigned. Assists with the coordination of front office staff supplemental and quarterly meetings. Meets with the Clinic Manager at least monthly and as needed to discuss administrative issues. Strives to maintain a positive work environment for all front office staff. Represents the front office staff in department and committee meetings and shares information with front office group. Maintains cleanliness and professional appearance in the office. Additional responsibilities may be assigned to help drive our mission of delivering high-quality and compassionate cancer care in our community, for our community, and by oncologists who live in our community. Qualifications/Competencies High School education or equivalent experience required. Three (3) years medical experience, supervisory skills preferred. Knowledge of medical terminology, clinical policies and procedures, and front office tasks. Ability and willingness to regularly travel to our locations: West Ashley, Summerville, Mt. Pleasant, and North Charleston. Ability to establish and maintain relationships with patients, families, and physicians. Ability to communicate clearly and effectively. Ability to analyze workload requirements and schedule registrars appropriately. Ability to exercise initiative, problem solving and make decisions. Ability to maintain confidentiality of sensitive information.
