The primary function of the Part Time Branch Office/Marketing Administrator is to provide administrative, operational support to our financial advisors by putting the needs of the client first and consistently demonstrating exceptional service. This position performs moderately complex to complex tasks in the areas of administrative support and client service in a paperwork-intensive environment. The Part Time Branch Office/ Marketing Administrator is a liaison between our company, our custodians, the Financial Advisor(s) and clients. Marketing Essential Functions:
Planning, implementing, and monitoring marketing campaigns. Ordering of marketing materials and collateral. Help organize and coordinate marketing events such as conferences and webinars. Evaluate data and create reports on key metrics to monitor campaign efficiency and analyze trends. Provide administrative and project support for a variety of marketing programs.
Business Office Essential Functions:
Answer phones & greet clients in a friendly, warm manner. Complete & process new client applications, transfer paperwork and service requests with high accuracy. Research and continuously follow up, record, document and communicate with financial professionals and clients. Input documents and keep database/CRM program up to date. Respond to advisor or client inquiries on administrative questions. Reviews and signs material, as authorized. Manage the Advisor’s calendar. Various industry-specific tasks. Ensures confidentiality and controls access to sensitive information, such as client files. Responds to inquiries and requests for information requiring knowledge of departmental and company policies and procedures utilizing the investment services team. Oversees office operations. Schedules and prioritizes workload by setting appropriate deadlines. Maintain positive working relationships with others, both internally and externally. Anticipate, understand and respond to the needs of co-workers, the Supervisor and the clients to meet or exceed their expectations. Follows direction well, work cooperatively and effectively with others to set goals, resolve problems and make decisions to enhance company’s effectiveness; ability to undertake self-directed tasks when necessary; open to learning new skills. Excellent attention to detail; the capacity to prioritize by assessing situations to determine urgency; ability to develop a work schedule and ability to make clear and timely decisions. Perform work tasks with a high attention to detail, with the ability to consistently ensure accuracy of data and documents. Ability to prioritize projects and manage time. Marketing Required Experience or Education:
Degree in marketing, business, or related field preferred. 1+ years of experience in marketing. Strong written and verbal communication skills. Attention to detail. Superior organizational and time management skills. Eager to create and adhere to a process. Knowledge of relevant marketing tools and applications is a plus (Adobe Creative Suites, HubSpot, Microsoft Products, etc.
Business Office Education or Experience:
3+ years of experience in a busy office (serving in the financial services, Broker or RIA preferred). Knowledge of administrative and clerical procedures and systems such as managing files, records and other office procedures. Working knowledge of Microsoft Office Products. High School Diploma or GED accepted Associate or bachelor’s college degree preferred Working knowledge of investment products.
Work Environment & Physical Demands:
Indoor office setting with essential physical requirements, such as climbing, standing, stooping or typing. Possibility of physical effort/lifting up to 20 to 50 pounds.
