Job Title :

Office Manager Reports to : Owner Job Duties and Responsibilities Oversee office and showroom operations Greet and assist customers with friendliness and care in person, via phone, email, text, video conferencing Develop, Review and Process estimates, invoices, payments, and other financial transactions in a timely manner Perform account reconciliation, including bank reconciliation and accounts receivable management via QuickBooks Online Assist with payroll administration via QuickBooks Manage customer / client relationships in a proactive and professional manner. Print and copy monthly financial statements and reports for owner’s monthly business reviews: P&L, Transaction Detail, Balance Sheet, and Cash Flow Statements. Take and retain daily work meeting minutes Utilize accounting software such as QuickBooks Maintain office supply inventory Coordinate office facility and equipment maintenance Organize meetings and schedule appointments Negotiate and manage vendor / service provider fees, relationships, and payments Maintain physical and digital files for employees, benefits and attendance records Maintain physical and digital files for customers and vendors Receive and distribute mail Prepare operational reports Plan company events Required Qualifications Excellent verbal and written communication skills Exceptional customer focus Advanced computer skills, including MS Office, data entry, data processing, communication tools and payroll and software Ability to effectively utilize QuickBooks for estimates, invoicing, A/R, A/P, reconciliation, creation, and printing of QuickBooks reports. Well versed in business management, accounting principles, data management, filing systems, and their application Experience with account reconciliation processes, including bank reconciliation. Analytical and critical thinking skills Leadership and coaching skills Strong interpersonal skills Detail-oriented with excellent organizational skills Budgeting Ability to manage multiple tasks while meeting deadlines effectively Preferred Qualifications Previous experience in customer focused Office Manager position preferably with a building supplies or similar service A degree in Accounting or Finance is preferred but not mandatory; relevant experience will be considered Fluent in
