Position Summary:
We are seeking a highly organized, friendly, and detail-oriented Office Manager to oversee the daily operations of our physical therapy clinic. This pivotal role combines administrative leadership with front desk responsibilities and billing support. The ideal candidate will have experience in medical office management, strong knowledge of EMR systems, and an understanding of insurance benefits and billing processes.
Key Responsibilities:
Front Desk & Patient Interaction Greet and check in patients in a professional, welcoming manner Schedule and confirm appointments via phone, email, and EMR Answer incoming calls, respond to inquiries, and route messages appropriately Maintain a clean and organized reception area Administrative Duties Create, update, and maintain patient charts in the EMR system Verify and document insurance benefits prior to appointments Communicate with insurance providers for authorizations and billing issues Collect patient payments, issue receipts, and reconcile daily transactions Assist in payroll, inventory management, and general office supply orders Billing & EMR Management Collaborate with billing team or third-party billing service to ensure timely and accurate claims submission Track and follow up on unpaid claims or denied reimbursements Provide billing support to patients and explain balances when needed Compliance & Documentation Ensure patient confidentiality and HIPAA compliance at all times Maintain accurate and up-to-date records, documentation, and logs Support audits and reporting processes as needed
Qualifications:
Previous experience as an Office Manager or in a similar administrative role in a healthcare setting (physical therapy preferred) Strong knowledge of insurance verification and billing processes Familiarity with EMR systems (e.g., WebPT, Kareo, or similar platforms) Excellent communication and interpersonal skills Ability to multitask and stay organized in a fast-paced environment High school diploma or equivalent required; Associate’s or Bachelor’s degree a plus
Preferred Skills:
Knowledge of CPT codes and medical terminology Experience in payment collections and financial reporting
Working Conditions:
May involve prolonged periods of sitting and computer use Must be able to occasionally lift office supplies or assist with minor clinic needs
