Front Office Lead Oak Ridge Endodontics 689 Emory Valley Road, Oak Ridge, TN 37830 Job Overview Fountain City Endodontics is expanding, and we are getting ready to open the first practice in Oak Ridge specializing in endodontics – Oak Ridge Endodontics. Our aim is not only to provide much needed endodontic care to the local community and beyond, but also to set the standard in patient care and inter-disciplinary communication. Your main duties will be to organize and coordinate administration duties procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Front Office Lead duties and responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees. Previous experience as a front office lead would be an advantage but is not required. A successful candidate should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Front Office Lead should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation. The Front Office Lead will report to the Operations Manager. Responsibilities Serve as the point person for front office duties including: maintenance, mailing, supplies, equipment, bills, errands, shopping Schedule meetings and appointments Coordinate and maintain exceptional relationships with referring practices Participate in marketing to referring offices, including dropping off gifts Organize the office layout and order stationery and equipment Maintain the office condition and arrange necessary repairs Meet with Operations Manager to update and maintain office policies as necessary Organize office operations and procedures Coordinate with IT department on all office equipment Ensure that all items are invoiced and paid on time Provide general support to visitors Assist in the onboarding process for new hires Liaise with facility management vendors, including cleaning, catering and security services Plan in-house or off-site activities, like parties, celebrations and conferences Supervise front office assistants including performing annual performance reviews and conducting reviews to discuss areas of needed growth Skills A positive attitude Exceptional communication and inter-personal skills A demeanor that is kind and caring, yet assertive Proven experience as an front office lead or office manager Knowledge of office administrator responsibilities, systems and procedures Proficiency in MS Office (MS Excel and MS Outlook, in particular) Hands on experience with office machines (e.g. fax machines and printers) Familiarity with email scheduling tools Excellent time management skills and ability to multi-task and prioritize work Attention to detail and problem solving skills Excellent written and verbal communication skills Strong organizational and planning skills in a fast-paced environment A creative mind with an ability to suggest improvements Additional qualification as an Administrative assistant or Secretary will be a plus Benefits
