Under the general supervision of the Director of Global Perspectives and International Programs, the office manager is responsible for assisting the director and coordinating the daily operations of the Office of Global Engagement. The office manager is responsible for streamlining administrative procedures, maintaining study abroad software, supervising student workers, and working independently to ensure the effectiveness and efficiency of the office. The office manager serves the students, faculty, staff, and visitors of Lee University, demonstrating a high professional standard. The position is 40 hours per week, for twelve-months. Within the hours indicated, the office manager must be willing to work during special events as needed, including evenings and weekends.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Provide administrative assistance to the Director of Global Perspectives and International Programs
Receive daily incoming phone calls and assist visiting students, faculty, and staff
Assist the director in recruiting, selecting, orienting, and training student workers
Ensure the quality of student worker contributions by coaching, counseling, and disciplining (when necessary); planning, monitoring, and appraising job results
Assist in managing student worker and travel guide schedules, payroll, contracts, and task lists
Assign student worker tasks and provide work-flow continuity
Assist the director in preparing semester class schedules for cross cultural credit
Purchase and stock office supplies
Report as necessary any office maintenance and custodial needs
Attend and document all office staff meetings and events
Serve as secretary to the Global Perspectives Committee and record minutes at meetings held outside of office hours
Organize and maintain office files
Provide oversight of the study abroad software that manages the information and application process for the Office of Global Engagement
Demonstrate a thorough comprehension and facility for all of the various systems used in managing the software-related processes of the office
Run needed reports and send them promptly to other coordinating offices and sectors across campus (see below)
Oversee and ensure the accuracy of student worker assignments and updates related to software use
Stay abreast of system updates, attend training, and train other office staff on software
Manage office data
Design and share reports created through the study abroad software with trip directors to assist in their trip management duties
Design and share reports created through the study abroad software with other administrative offices that need data regarding Global Perspectives information
Gather photos and other materials from trip directors to use in office promotional materials or for use on the office’s social media
Prepare the materials (trip proposals, individually arranged study proposals, petitions for exception) for the Global Perspectives Committee
Assist the director with annual reports and assessment of office performance
Assist the director with collection and distribution of Global Perspectives course evaluations
Manage budgets, vouchers, transfers, and purchase orders
Communicate with the Provost and Academic Vice President assistants as necessary Manage daily Accounts Payable and Accounts Receivable
Assist as necessary in managing office-sponsored Global Perspectives trip budgets and deposits
Audit and reconcile budget item line accounts monthly
Approve credit card purchases online and generate statements for University Accounting Services
Assist the director with the annual budget proposal
Assist the director in managing and maintaining publications, promotions, and correspondence related to the following Office of Global Engagement processes
Global Perspectives Trip Application Process
Individually Arranged Study Application Process
Petition for Exception Process
Global Perspectives Committee meetings
Office sponsored global perspectives trips
Social media and other publicity
Communicate with International Programs assistants, domestic and international
Manage Teams accounts for Global Perspectives and International Programs
Assist the director with event planning including room reservations, catering orders, procurement of materials and props, advertisement, correspondence, and student assistant responsibilities for the following events and any additional events assigned by the director.

UK Semester Meetings and Orientation Sessions
Class Meetings
Office sponsored trip informational meetings as necessary
Global Perspectives Committee meetings
Hosting guests from outside programs
Representing the office at occasional events outside of regular office hours (e.g. New Student Orientation)
Review, edit, and submit revisions as necessary for all campus publications including those listed below and additional publications as assigned by the director.

QUALIFICATIONS
Bachelor’s Degree
Experience in an administrative assistance position or an office management position, preferably in an academic setting
Customer service experience
Preference will be given to individuals who have education or work experience at Lee University
Excellent organizational skills with the ability to work well under pressure, coordinate a wide variety of tasks, set and meet deadlines, and pay close attention to detail.
Exceptional interpersonal and communication skills with the ability to communicate effectively with people of diverse backgrounds.
Strong word processing and database management skills (prefer at least intermediate experience with Microsoft Word, Excel, Access, Outlook, PowerPoint, web page editors, electronic mail, and Internet functions/services). Experience with Lee University’s data system (Colleague) is preferred.
Must be flexible, reliable, self-motivated, and able to work well independently and as a member of a team.
Previous administrative and customer service experience, preferably in a college/university setting
Commitment to serving people well.
Ability to effectively manage projects and think strategically about future improvements.
Ability to maintain confidential files and information with the utmost integrity and trustworthiness in accordance with FERPA regulations.
Ability to demonstrate and maintain integrity in professional and personal relationships.
Mature, committed Christian with an understanding of and commitment to the mission of Lee University.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to sit, talk, and listen. The employee is occasionally required to stand, walk, and reach with hands and arms. Bending for filing and events is sometimes required. Extended time in front of a computer screen is necessary. Additionally, physical preparations for events are part of this position such as: event set up, tear down, clean-up, and storage of leftover food, decorations, and/or costumes is required for events hosted by the department.
WORK ENVIRONMENT
This position is 12-month full-time, non-remote position working in an office environment with a low to moderate noise level.
