Job Description
Office Administrator Center for Spiritual Living Nashville Nashville, TN 37220 • Hybrid work The Center for Spiritual Living is seeking an Office Administrator to manage the day to day operations of our spiritual center. The Office Administrator is the central hub of CSL Nashville’s operations•managing systems, people, communications, and the facility with efficiency and care. The role supports the smooth functioning of the Center throughout the week and on Sundays, helping create a calm, organized, and welcoming environment for all. The Office Administrator will work with our Senior Minister and our Board to manage general administrative and office tasks; manage all center communication such as our email, voicemail and newsletter; work with our Property Manager for building maintenance and repair, maintain center records, handle purchasing for supplies, coordinate office equipment maintenance and repair and perform general office tasks.

KEY RESPONSIBILITIES
Operations and Administrative Support:
Respond to general phone and email inquiries and route appropriately. Organize and maintain digital files and documentation Manage Zoom/video platforms, setting up links for meetings, classes and events Oversee Google Workspace•including assigning emails, aliases, Google Groups, and shared drives Personnel Management•including handling onboarding/offboarding , perform background checks, ensure legal compliance of with labor law poster display) Maintain documentation for insurance, compliance, and annual filings Maintain and update Center-wide calendar (classes, events, meetings) Support the Minister with scheduling, reminders, and general admin tasks
Administrator of Zoom, Dropbox, Slack, Google Manage Breeze CHMS:
(Maintain accurate profiles, Create and Manage forms, Set up automated reminders, Send birthday emails and other automated touchpoints)
Facility Oversight:
Manage building access•Assign and revoke codes, maintain log of access credentials, manage remote access lock/unlock of building Schedule and coordinate vendors and service providers (lawncare, alarms, janitorial, metro, HVAC, maintenance) Work with cleaning crew to ensure building cleanliness and supply levels Restock hospitality, bathroom and office and cleaning supplies as needed Manage space request and approval system•-Schedule internal use for meetings/events; provide tours for external renters, execute user contracts and maintain calendar Manage office equipment (printer, copier, computer, etc.) and related supplies Maintain a basic facilities emergency protocol and update as needed
Sunday Morning Support:
Open the building and serve as on-site support for staff and volunteers Ensure Sunday materials (slides, handouts, etc.) are provided to AV team Participate in Production Team meetings Provide onsite support to Music Director and AV team Troubleshoot issues that arise onsite and fill in gaps as needed Provide a calm, welcoming presence for congregants and team members
Qualifications:
Experience in administration, operations, or church/nonprofit management Proficient in Breeze CHMS, Google Workspace, Zoom, Microsoft Office, YouTube and digital systems Highly organized, communicative, and tech-savvy Ability to multitask and problem-solve gracefully Ability to work independently and take initiative Alignment with CSL’s mission and New Thought values In alignment with best practices for healthy organizational boundaries and role clarity in spiritual communities, this position is intended for someone who is not an attendee or member of CSL Nashville .
