Great Care Health Services is currently seeking an Office Manager who will oversee daily practice operations, the patient billing and collections processes and support leadership with marketing and business development. We are seeking a motivated self-starter interested in supporting our team of providers, patients and overall growth. Great Care Health Services is an outpatient Psychiatry and Therapy/Counseling facility that provides exceptional behavioral health services to patients in Tennessee. We offer both in-person and Telehealth services to ensure that care is accessible regardless of client location in the state. We strive to provide great care for our patients. This position is a full-time in person role. Work hours are Monday – Friday 8:00 am to 5:00 pm as well as some weekends if needed. Job Summary The Office Manager is responsible for operations management, overseeing patient and provider billing and insurance, maintaining regulatory and legal compliance and supporting leadership with marketing and business development. This position also serves as the primary back-up for all day-to-day administrative tasks to help drive a positive patient experience both before and after meeting with providers. The Office Manager will also support the growth of GCHS by working on special projects and identifying opportunities to improve the effectiveness and efficiency of the practice. Job Responsibilities

  • Oversee patient billing process to confirm data accuracy and completeness prior to being sent to insurance companies
  • Own and manage patient billing claims by analyzing requests and collaborating with vendors, insurance companies and patients to respond to billing queries and discrepancies
  • Establish relationship and partner with electronic medical records vendor to address and resolve patient claims related issues and discrepancies (i.e. requesting information to be audited, updated, etc)
  • Manage patient insurance eligibility discrepancies with insurance companies
  • Resolve patient payment discrepancies by reviewing insurance correspondences and determining actual balance to be paid
  • Monitor selected patient visit data entered by Providers in electronic medical records system and request needed information to support timely submission of billing
  • Audit provider schedules bi-weekly to confirm availability is valid and patient recurrences and follow-ups are properly scheduled
  • Serve as back-up to Office Coordinator as needed which includes scheduling patient appointments and follow-ups, managing patient intake, responding to phone calls and emails, etc.
  • Generate patient balance reports and identify opportunities/approaches to collect payments
  • Partner with Office Coordinator to communicate patient balances and resolve patient questions/concerns
  • Address patient concerns by listening and identifying steps to resolve while maintaining strict HIPAA compliance and confidentiality with patient records, queries and communications
  • Manage and maintain provider insurance network status and provider portal to confirm updated credentialing, licensure, etc
  • Serves as point of contact for the secure telehealth virtual psychiatry sessions and other systems
  • Support implementation of patient outreach and retention strategies by determining where to market services and identifying ways to connect with future patients
  • Collaborate with the external IT team by providing GCHS content and updates to maintain a strong online presence through the website, reviews and directories
  • Support Clinic Director with preparation for office audits
  • Partner with Clinic Director to support marketing and business development activities and projects including presentations for potential referring partners, following up with referring partners, etc.
  • Create, manage, update and communicate financial policies and other office processes to providers and support team
  • Educate staff on safety, infection control and emergency procedures and assist with mental health crisis protocols (e.g. suicidal ideation, emergencies, etc)
  • Maintain compliance with HIPAA, OSHA, and other healthcare regulations and laws (e.g. Stark Law, mental health parity laws, etc); update GCHS policies and procedures based on changes and train team as needed Required Qualifications and Skills
  • Bachelor’s Degree
  • Minimum of 3 years of experience in office administration, marketing, and/or process improvement
  • Minimum of 2 years of experience interacting with internal and external stakeholders in a services environment requesting information resolving issues, etc
  • Knowledge of HIPAA and other health services laws
  • Proficiency in online systems including MS Office Suite (Word, Excel, MS Teams) Desired Qualifications and Skills
  • Prior experience managing daily office operations in a fast-paced environment
  • Ability to build and maintain strong working relationships at all levels
  • Excellent written and verbal communication, organizational, critical thinking and problem-solving skills
  • Process driven and innovative
  • Strong knowledge of mental health/behavioral health billing/coding (e.g., psychotherapy codes, E/M codes)
  • Familiarity with mental health terminology and patient privacy concerns
