Job Summary:
We are seeking a highly organized and proactive Office Manager / Administrator to oversee the daily operations of our office. The ideal candidate will be responsible for ensuring a smooth and efficient workflow, managing office resources, and providing support to staff and management. This role requires strong communication skills, multitasking abilities, and a commitment to maintaining a positive work environment.
Key Responsibilities:
Office Operations:
Manage the day-to-day operations of the office, ensuring that all administrative processes run smoothly and efficiently.
Team Support:
Provide administrative support to management and staff, including scheduling meetings, managing calendars, and coordinating travel arrangements.
Communication:
Serve as the primary point of contact for internal and external communications, handling inquiries and directing them to the appropriate parties.
Facilities Management:
Oversee office maintenance, including managing vendor relationships, coordinating repairs, and ensuring a safe and comfortable work environment.
Inventory Management:
Monitor and manage office supplies and equipment, ensuring that all necessary resources are available and in good condition.
Record Keeping:
Maintain organized filing systems, both physical and digital, ensuring easy access to important documents and records.
Financial Administration:
Assist with budgeting, expense tracking, and financial reporting, ensuring compliance with company policies.
Event Coordination:
Plan and organize office events, meetings, and team-building activities to foster a positive workplace culture.
HR Support:
Assist with recruitment processes, onboarding new employees, and maintaining employee records and benefits administration.
Qualifications:
High school diploma or equivalent Proven experience as an Office Manager, Administrator, or in a similar administrative role (typically 2-4 years). Strong organizational and time management skills, with the ability to prioritize tasks effectively. Excellent written and verbal communication skills, with a customer-focused attitude. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software. Strong problem-solving skills and the ability to work independently and collaboratively in a team environment. Attention to detail and a high level of accuracy in all tasks.
