The ideal candidate will possess strong leadership skills, excellent communication abilities, and a commitment to providing exceptional customer service. This role is essential in maintaining an efficient office workflow and fostering a positive work atmosphere. Duties Manage front desk operations, including greeting visitors and handling inquiries. Process insurance payments, denials, and authorizations. Utilize QuickBooks for payroll, financial management and bookkeeping tasks. Process monthly statements for outstanding accounts and maintain an accurate Accounts Receivable Report. Maintain office supplies inventory and order as necessary to ensure operational efficiency. Coordinate schedules and vacation requests for staff members. Manage provider requirements such as continuing education, licenses, insurance, credentialing, onboarding, etc. Provide outstanding customer service to clients, addressing their needs promptly and professionally. Assist in the training of new staff members on office procedures and software systems. Ensure compliance with company policies and procedures while maintaining a welcoming office environment, such as CPR, HIPAA and OSHA Training. Support administrative functions such as filing, scanning, and organizing documents. Process Record Requests, Imaging Referrals, Specialist Referrals, and respond promptly to other notices. Provide and/or coordinate coverage for staff members and providers that are out of the office due to unforeseen circumstances, such as illness or other emergencies. Experience Proven experience as an Office Manager or in a similar administrative role is required. Previous experience as billing specialist is preferred. Experience with QuickBooks or similar accounting software is highly desirable. Previous experience as medical receptionist is a plus. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
