We are currently seeking a highly organized, detail-oriented, and energetic Office Manager to join our team and play a key role in keeping our office operations running smoothly and efficiently.
Position Overview:
The Office Manager will oversee the daily operations of the office, manage the call center and customer service representative (CSR), and act as a key liaison between the office and the sales and production teams. This role requires strong leadership, communication, and organizational skills, as well as a commitment to excellent customer service.
Key Responsibilities:
Supervise the call center and customer service representative, ensuring high-quality customer interactions and smooth daily workflows. Monitor, track, and produce weekly reports on key metrics, including: Leads received, appointments scheduled and run, jobs sold and completed, and contract payment status. Ensure all customer and project data is accurately entered and maintained in the CRM system. Step in to answer phones, schedule appointments, and assist customers when the CSR is unavailable. Handle escalated customer service issues in a professional and timely manner. Oversee the processing of contracts, invoices, and payments, ensuring accuracy and completeness. Serve as the primary point of contact for the sales team and production team, facilitating communication and task coordination. Ensure all customer interactions, both in-person and over the phone, are professional, courteous, and efficient. Manage and optimize the scheduling of appointments, making sure customers are contacted promptly and scheduling goals are met. Ensure the office is operating in alignment with company goals and that key performance indicators (KPIs) are consistently met. Identify and implement process improvements to drive office efficiency and customer satisfaction.
Qualifications:
Previous experience in office management, administrative leadership, or operations (fencing, construction, or service industry experience is a plus) Strong attention to detail and a high level of accuracy in data entry and reporting Experience with CRM software (preferably in a service-based environment) Excellent communication, problem-solving, and multitasking skills Ability to lead a small team and work collaboratively with sales and production staff Strong customer service orientation and conflict resolution skills Proficiency in Microsoft Office Suite (Excel, Word, Outlook) High school diploma or equivalent (Associate or Bachelor’s degree preferred)
