JOB SUMMARY:

The Office Manager is responsible for facilities management and high-level administrative support for multiple divisions and departments.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

The statements below are intended to describe the general nature and level of work being performed by a job incumbent.   • Sets up office space for new employees; cleans and organizes vacant offices; ensures that conference rooms are well-maintained and ready for meetings; optimizes building space to meet the company’s needs; facilitates maintenance of office equipment including cleaning and repairs; provides backup on building maintenance to include coordinating repairs and managing vendor relationships. 15%
  • Works closely with Materials Testing to process and prepare sales orders and invoices and provide general support to the Residual Stress Engineer.

This includes setting up new customers in SAP; generating and distributing customer invoices for sales and/or services rendered; ensuring correct coding of all customer invoices in SAP; responding to customer inquiries regarding invoicing; administering contracts; scheduling lab jobs; and assisting with internal audits. 15%

  • Supports Nuclear Power by reviewing, approving and administering contracts; managing customer projects; overseeing sales contracts and follow-up; providing technical data to end users and project specifiers; preparing documentation and shipments with Quality; working with Purchasing to restock nuclear parts; serving as Lab Management Representative for
ISO 17025

quality program; performing Quality Assurance (QA) audits and external vendor audits; and assisting with QA audits by the Nuclear Procurement Issues Committee (NUPIC). 15%

  • Performs new order entry and processing for Connected Products and Technical Testing Group. 15%
  • Assists the Aviation Operations Manager with government contract management; import/export compliance; order entry and processing; customer returns; invoicing; Radian order entry/review; and other tasks as needed. 15%
  • Provides support to the Accounting department by processing and sending monthly customer statements; following up with past due customer accounts; assisting with travel expense reports and corporate credit card reconciliations; processing Accounts Payable invoices; providing administrative backup to include greeting visitors, answering phones, and distributing mail; and other tasks as needed. 10%
  • Provides general support to the Director of Marketing.
QUALIFICATIONS

Proficiency in Microsoft Office products SAP Business One software experience a plus Strong organizational skills, problem solving skills, and attention to detail Excellent communication skills, both verbal and written Ability to work in a fast-paced, multi-tasking environment Telephone, email and business etiquette

EXPERIENCES/EDUCATION

High School Diploma or GED required; Associate’s Degree preferred At least five years of administrative experience

PHYSICAL DEMANDS AND WORKING ENVIRONMENT

Works predominately at office desk: carrying out both manual and repetitive arm hand and finger movements in regard to computerized data entry and data processing tasks; and providing verbal contact with customers and co-workers. Job requires the ability to lift, push, pull or otherwise move objects 1 lb. to 10 lbs. multiple times each month and objects 11-25 lbs. occasionally Job requires walking or standing often and may include periodic bending, stooping, crouching, and climbing. Works in environmentally controlled work area with adequate lighting. Specific vision abilities required include close vision, color vision, distance vision, depth perceptions, and the ability to adjust focus. Mental activities necessary include concentration, organizational and communication skills, and mathematical accuracy.
