Office Manager – University Women’s Specialists University Physicians’ Association is seeking qualified applicants for a full-time Office Manager . The manager plans and directs the operational activities for the group. Oversees adherence to the organization policies and proper communication to and involvement of team members regarding practice operations. Plans, organizes and directs daily operations to include staffing, practice growth and improvement, financial performance and customer service. The Office Manager must be knowledgeable in human resource management and practice management and be adept in both clinical and business office settings. The Office Manager trains, evaluates, supervises and provides administrative support for the office staff. The ability to work as a team member is essential. The Office Manager serves as a role model and mentor to the office staff and must be knowledgeable, encouraging, enthusiastic, and nurturing. Job duties included, but not limited to the following: Patient Satisfaction a. Reviews patient satisfaction surveys quarterly to identify areas for improvement. b. Works with physicians and employees to reduce wait times for the group. c. Facilitates the resolution of patient complaints. Accounts Payable a. Authorizes all practice bills in an accurate and timely manner. b. Ensures practice expenditures stay within the budget. Billing and Coding a. Supervises practice billing and accounts receivable activities. b. Acts as the liaison between physicians, and central billing office. Schedules and Templates a. Prepares provider schedules and templates. b. Coordinates staff daily schedules. Payroll a. Submits employee adjustment logs bi-weekly. Approves employee time bi-weekly. b. Monitors practice overtime. c. Submits physician sick and vacation time monthly to the administrator. Compliance/Risk Management a. Ensures the practice, the physicians and staff comply with all relevant federal, state and local regulations. b. Complete other activities as assigned by the administrator. c. Ensures all employees receive the required annual training for safety and compliance. Conducts an annual safety review of the practice. Personnel Management a. Manages human resource activities and makes hiring decisions of practice employees. b. Provides appropriate training and orientation or ensures training is provided to new employees. c. Ensures adequate staffing. d. Coordinates employee leave time. e. Supervises office staff in a professional manner while following University Physician Association (UPA) and University Health System, Inc. (UHS) policies and procedures. f. Addresses inappropriate employee behavior in a confidential manner and takes appropriate disciplinary action. g. Coordinates huddles, monthly staff meetings, and other various meetings as needed. h. Engenders a team atmosphere, helping others when needed to create a culture of mutual respect, support, kindness, and continual improvement. System Review a. Analyzes practice systems to increase efficiency and maximize revenue. b. Conducts annual review of major practice systems to identify opportunities for improvement. c. Implements changes as needed to improve practice performance.
Requirements:
Must have excel and spreadsheet experience. Patient billing knowledge required. Previous experience with physician office management is required. OB/GYN experience is a plus. Ability to define problems, collect data, establish facts, and draw valid conclusions.
