This key role is responsible for maintaining the integrity of financial records, executing complex billing operations, and providing executive-level financial insight to support business decision-making. The ideal candidate brings experience in aviation or high-end service industries and has a strong command of accounting principles, budgeting, and cost recovery processes. Key Responsibilities Act as the central point of contact for employees, aircraft owners, charter clients, and vendors. Oversee the day-to-day operations of the office, including supplies, equipment, document control, and calendar management. Coordinate staff schedules, travel, and internal meetings. Ensure administrative compliance with company SOPs, FAA requirements, and safety protocols. Support contract management, insurance renewals, and vendor relationships. Accounting, Financial Management & Billing Oversee full-cycle accounting, including accounts payable, accounts receivable, bank reconciliations, and general ledger maintenance. Prepare detailed monthly financial statements, including income statements, and balance sheets. Create and manage accurate billing for aircraft owners and charter clients, including flight hours, fuel usage, crew charges, and maintenance pass-throughs. Prepare monthly owner statements with full supporting documentation and reconciliation of aircraft-specific operating costs. Coordinate with the charter sales team to ensure timely invoicing and revenue recognition from trips flown. Monitor receivables and follow up on outstanding invoices; ensure timely payments to vendors and subcontractors. Oversee payroll processing and ensure compliance with all payroll tax requirements and regulatory deadlines. Assist with preparation for year-end financial tax filings in collaboration with external CPAs. Recommend and implement financial controls and reporting improvements to enhance accuracy and accountability. HR & Compliance Support Maintain HR records and assist with onboarding, benefits enrollment, and staff credential tracking. Monitor pilot and crew certifications, DOT/FAA compliance records, and insurance documentation. Handle sensitive personnel and client information with discretion and professionalism. Qualifications Minimum 5 years of experience in accounting or financial management, preferably in aviation, logistics, or a service-driven business. Strong understanding of GAAP, accrual-based accounting, and multi-entity financial reporting. Proficient in QuickBooks or similar accounting software; advanced Excel skills required. Demonstrated experience in client billing. Excellent analytical, organizational, and problem-solving skills. Strong interpersonal and communication skills to interface with high-net-worth clients, vendors, and internal stakeholders.
