  • Administrative Management
  • Monitor check processing, ensuring efficient handling of incoming and outgoing payments, alongside proper financial recordkeeping.
  • Generate and track shipping labels for outgoing correspondence, documents, and customer care materials.
  • Manage office supply inventory, avoiding shortages and minimizing waste through meticulous stock controls.
  • Coordinate with Accounting to manage company billing and financial responsibilities
  • Prepare monthly financial reports for internal leadership, ensuring accuracy and timely submission.
  • Client Communication & Support
  • Act as a primary point of contact for client communication, addressing inquiries with professionalism and empathy.
  • Provide regular claim updates, working alongside claims specialists to proactively communicate progress and the next steps to clients.
  • Ensure smooth document requests by initiating and following up on necessary submissions, such as forms, receipts, and proofs.
  • Record detailed notes of all client interactions within the CRM (Salesforce) for consistent and transparent cross-departmental communication.
  • Task & Metrics Oversight
  • Monitor task deadlines within Salesforce to ensure operational consistency.
  • Compile and deliver weekly activity metrics reports using Salesforce data. Partner with leadership to analyze workload trends, proposing strategies to enhance efficiency and productivity
  • Scheduling & Coordination
  • Schedule and confirm site inspections by managing team calendars and coordinating logistics for field visits.
  • Maintain a centralized scheduling system, issuing timely reminders and ensuring alignment across the team to honor client commitments.
  • Claims Support & Processing
  • Supervise the intake and organization of Personal Property documentation, ensuring data entries remain comprehensive, and precise
  • Manage Personal Property software including revisions and maintaining organized digital records as claim statuses progress.
  • Monitor the lifecycle of claim tasks via Salesforce, ensuring deadlines are consistently met.
  • Collaborate with FirstCall adjusters to facilitate accurate documentation, including inventory reconciliation and loss summary preparation.
