This role is a member of Human Resources and supports employees with inquiries regarding payroll, staffing, benefits and other policies and programs. This role requires a high degree of professionalism, confidentiality, attention to detail, and flexibility.
Essential Functions:
Greet and direct customers and other company visitors to the appropriate staff or conference rooms and offices and ensure that visitor logs are utilized and maintained properly. Answer telephone, directing calls to employees, providing information, or taking messages as appropriate. General administrative tasks such as photocopying, mailing, email routing and distribution of mail. Act as resource to employees, assisting with locks, key cards, forms, payroll system access, etc. Assist with employee communication, engagement and recognition programs and implement improvements in employee communication methods and materials. Support the administration of company policies and procedures; implementing and communicating existing and new HR policies and programs. Coordinate the delivery of express mail services (e.g., FedEx, UPS, etc.). Respond to requests for verification of employment (in conjunction with Payroll as needed). Ensures records, including confidential materials, are scanned and maintained in compliance with HR practices and policies in a timely manner. Prepare and modify documents and communication including correspondence, reports, memos and emails. Schedule and coordinate meetings, appointments and meals for meetings and events. Maintain and post conference rooms schedules. Maintain employee access software including activation and deactivation of employee key cards/badges. Assist with the preparation and distribution of Dough certificates. Order, stock and distribute office supplies and business cards. Coordinate maintenance of office Support the leadership team in certain projects which may require proficient use of Excel, PowerPoint, Word, Outlook, Teams and Publisher. Provide general support to HR team such as administrative projects, maintenance of electronic and hard copy filing systems, etc. Support the New Hire Orientation (NEO) onboarding process, including preparing and maintaining new hire packets. Monitoring and restocking printed copies of company forms available for employees. Assist with updating employee communication tools including AppSpace and printed materials. Facilitate company uniform purchases and maintain records of purchase requests. Support event planning efforts and other special projects as needed. Maintain safe and clean work and reception area. Participate on a Bridgetown Performance System team.
Knowledge, Skills & Abilities:
High school diploma or equivalent required; secondary education preferred. 2-5 years of related work experience in a professional environment requiring good judgment and high degree of confidentiality; HR experience a plus. Bilingual speaker preferred. Excellent customer service and communication skills (oral, written, presentation). Excellent attendance and proven reliability. Familiarity with operation of office equipment. Strong initiative, planning and organizational skills with excellent attention to detail. Proficient with Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams and Publisher). Must have ability to learn new computer systems as needed. Ability to work independently in addition to taking direction on projects and tasks. Flexibility and ability to respond to changing work priorities. Teamwork skills, professionalism and integrity. Excellent ability to work successfully and diplomatically with all employee levels. Ability to understand and communicate work instructions in English. Graphic design familiarity is a plus to assist with publication of documents.
Working Conditions/Physical Factors:
Primarily an office environment but occasionally individual is on production floor with exposure to heat, dust and allergens. Must be able to exert up to 20 pounds of force occasionally, up to 10 pounds of force frequently and/or up to 5 pounds of force constantly to move objects. Must be able to ascend and descend building stairways and ramps to reach job assignments and perform tasks required in job description. Position requires frequent sitting for long periods of time with occasional standing, reaching, walking, lifting, grasping, bending and twisting.
