DUTIES AND RESPONSIBILITIES

The Receptionist position is responsible for operating a multiline telephone system to answer incoming calls and direct callers to appropriate personnel or department. The position also involves greeting on-site visitors as their first point of contact and handling various administrative duties as needed.

The incumbent will:

Answer incoming telephone calls, determine purpose of call and forward calls to appropriate personnel or department Retrieve messages from voice mail and forward to appropriate personnel Take and deliver messages or transfer calls to voice mail when appropriate personnel are unavailable Answer questions about organization and provide callers with address, directions and other information Welcome on-site visitors, determine nature of business and announce visitors to appropriate personnel Monitor visitor access Function as a notary public as needed Prepare set up for monthly board meetings Receive, sort and route mail to appropriate personnel or department Meter mail and deliver to post office as needed Order beverages, make coffee and check cleanliness of conference rooms Perform other clerical duties as needed, such as filing, faxing, photocopying and collating Responsible for being familiar with all compliance regulations and policies that are applicable to this position and follow and ensure compliance with these regulations and policies

MINIMUM QUALIFICATIONS

High school diploma or equivalent One (1) year of experience working with customers Ability to follow instructions Experience working in a fast-paced environment with frequent interruptions Excellent verbal communication skills

PHYSICAL REQUIREMENTS AND ENVIRONMENTAL CONDITIONS

The physical requirements and environmental conditions of this position consist primarily of: Sustained standing and sitting Frequent use of PC, including typing or sustained attention to monitor Occasional lifting of basic office files or equipment up to 20 lbs Normal office environment with comfortable internal temperatures and low level noise EOE/AA
