The Front Desk Coordinator is responsible for providing excellent customer service by greeting clients and visitors, managing incoming calls, and maintaining a professional reception area. This role also performs general office tasks, such as handling mail and scheduling appointments, to support the efficient operation of the office.

WHAT WILL I DO?
Manage office opening and closing procedures. Update the Company’s TV screens with daily interest rates and active listing information. Handle password management tasks. Answer and direct incoming calls. Provide walk-in customer service by directing visitors to the appropriate person or department. Send out daily MLS hot sheet emails to all agents. Send Monday emails regarding open house events and floor duty availability. Conduct daily email correspondence with agents. Process physical mail, including postage, reporting, and mailbox management. Receive and send packages, including UPS and FedEx shipments. Manage floor duty schedules for agents, including reminders and calendar planning. Maintain conference room and blue room calendars. Take care of office plants, ensuring they are watered and healthy. Order signage, business cards, and name badges for agents. Manage orders from Sam’s Club and Staples for office needs. Order Coldwell Banker materials such as letterhead and envelopes. Monitor and restock workroom supplies like printer paper and envelopes, ensure printers are functional, and organize workroom spaces. Monitor and restock filing cabinets with contracts and forms. Prepare listing and selling packets. Input open houses in the MLS. Send open house flyer requests and flyer printing. Keep kitchen and bathroom supplies stocked and maintain cleanliness. Maintain/update various Microsoft digital forms for floor duty and agent co-op referral sheets. Provide weekly reports to the CEO. Handle the onboarding and offboarding of agents, including mailbox licenses and directories. Assist Marketing team with printed material requests, bindings, and agent marketing items.
POSITION REQUIREMENTS
A high school diploma or equivalent is required. Prior experience in a receptionist or administrative role, particularly in real estate, is preferred. Sound like the right place for you?
