FACCM members operate over 1,100 centers, employ over 13,000 staff, and care for over 135,000 children from birth through school-age. FACCM’s early learning center members meet the needs of working parents, while supporting a child’s developmental needs with the end goal of preparing children for lifelong success.

FUNCTION

The Administrative Assistant will support the work of FACCM through managing general inquiries, ensuring quality reports and documentation through formatting/editing, preparing workshop and meeting materials, and supporting special projects. This position reports to the Director of Operations and will work closely with the Executive Director. You will play a key role in fulfilling FACCM’s mission: “The Association is a professional organization dedicated to promoting high standards of early child care and education through advocacy, professional development, and accreditation, supporting sound business practices to ensure the continued success of the private child care industry”. This position works in person at the association office Monday thru Friday 8:30am to 3:30pm and is not a virtual/hybrid position.

: Reports to the Director of Operations

GENERAL DUTIES AND RESPONSIBILITIES

Office Management

  • Handle general inquiries by phone/email/in person.
  • Assisting with special projects requested by staff.
  • Act as receptionist to visitors to the office
  • Review documents and communications for edits and formatting, upon request from staff. Responsibilities to Members
  • Facilitates the school’s attendance at workshops
  • Responds to questions and provides technical assistance
  • Assists with any requested on-site training/services or presentations and meetings

staff and monitors submission of any requests for information or supplementary reports

  • Maintains phone or email contact with school on activities due Ongoing Responsibilities
  • Develop and maintain a system to regularly contact potential/current member institutions
  • Maintains up to date notes on the member institution using the online school files and journal section
  • Assists staff in the preparation of materials for the quarterly Board of Directors meetings Other Responsibilities
  • Participates in the planning and presentation of workshops
  • Serves as additional liaison/resource to cooperative partners, governmental agencies and professional associations in collaboration with the staff
  • Works with special projects and new constituent groups
  • Collaborates with the support staff and evaluation team as it relates to member institutions
  • Participate in seminars and professional meetings to represent the association
QUALIFICATIONS
  • Business development or sales experience and/or non-profit experience helpful, but not necessary
  • An understanding of and enthusiastic support of the process of education accreditation is preferred
  • Commitment to staying current on education and legislative news, trends and policies
  • Demonstrated leadership skills and collaborative team building experience
  • Ability to think strategically, creatively and to inspire change
  • Exceptional writing, communication and presentation skills
  • Familiarity with Constant Contact, and G Suite/Google programs (Mail, Docs, Sheets, Hangouts)
  • Must speak and write well in English, multilingual is a plus
  • Proficient in promotional and motivational public speaking
  • Ability and willingness to travel extensively, locally, and nationally
  • Must have clean criminal and child welfare background checks
  • Must possess valid driver’s license
  • Any other duties as required and/or deemed necessary by Director of Operations and/or Executive Director
PHYSICAL AND MENTAL DEMANDS
  • Must be in good health with energy and enthusiasm to meet the physical and mental challenges of the position
  • This is an in-office position, located in Melbourne, Florida. Must be able to work M-F 8:30 – 3:30 in office
  • Frequently required to walk, sit, talk, hear and see
  • Occasionally required to stand, reach, stoop and handle or lift up to 25 pounds
  • Must be physically able to drive a car, ride a train, or airplane
  • Reasonable accommodations will be made to enable individual to perform essential job functions
  • Have the ability to work a minimum of 35 hours each week
