Job Description

Description We are seeking a Receptionist to join our team in the Printing/Publishing industry, based in Pompano Beach, Florida. This role offers a contract to permanent employment opportunity, where you will be the first point of contact for our company. Your duties will include offering administrative support across the organization, welcoming guests and greeting people who visit the office. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

Responsibilities:
  • Greet and welcome guests as soon as they arrive at the office
  • Redirect phone calls to the appropriate department or person
  • Distribute incoming mail
  • Maintain office security by following safety procedures and controlling access via the reception desk
  • Organize and maintain files for efficient retrieval and management
  • Schedule appointments and update calendar
  • Use Microsoft Office Suite (Word, Excel, Outlook) effectively for daily tasks
  • Provide excellent customer service
  • Manage multi-line phone system and promptly relay messages to the concerned personnel
  • Perform data entry tasks and manage email correspondence efficiently Requirements
  • Must possess excellent skills in answering a multi-line phone system
  • Proven experience in providing high-quality customer service
  • Proficiency in data entry tasks is required
  • Must be able to handle email correspondence effectively and professionally
  • Strong interpersonal skills are necessary for daily interactions
  • Proficiency in Microsoft Excel for data management tasks
  • Must be proficient in using Microsoft Outlook for communication and scheduling
  • Good knowledge of Microsoft Word for document creation and editing
  • Must be capable of organizing files systematically for easy retrieval
