Full Job Description Basic Function:

Assist the Business Office Director and/or Executive Director in areas pertaining to the day to day operations of the business office.

Duties and Responsibilities:

Greet visitors. Answer incoming calls in a professional manner and determine purpose of call and transfer call. Take and deliver messages. Responsible for ensuring all guests, vendors and families sign in and out of facility. Mail sorting, distribution and forwarding of mail Collection of guest meal money Creating and copying of resident/facility memos and flyers as needed Provide general administrative and clerical support including scanning, faxing and copying to management. Schedule appointments for the residents Generate reports and other documents. Maintain front desk procedures including contact information, directions and frequently asked questions. Prepare and modify documents including correspondence, reports, drafts, memos and emails. Scheduling of beauty shop appointments Mail sorting, distribution and forwarding mail Responsible for keeping accurate log of resident face sheet Responsible for keeping accurate and up to date census roster and FOS Distributing a copy of the census roster to each department head Directing resident concerns to appropriate Department Heads Typing, filing and miscellaneous copying as requested

Requirements:

Must have at least 2 years clerical experience Computer and software skills Ability to prioritize given tasks and work efficiently towards completing them. Must have good verbal and written communication skills. Must have great organizational skills. Must have great customer service and interpersonal skills.
