Full Job Description Receptionist:
Highly organized, ability to multi-task efficiently, excellent communication/writing skills, must be able to follow direction, policies, procedures, and protocols etc. Job Summary Our ideal candidate has a pleasant demeanor and professional appearance. While some postsecondary education is a plus, we prefer candidates with administrative or clerical experience. Once you become familiar with our needs and client base, you may be asked to assist with other tasks. Responsibilities Answer and direct phone calls with a professional friendly voice Organize and schedule appointments if needed Write and distribute email, correspondence memos, letters, faxes and forms Assist in the preparation of regularly scheduled reports Maintain a filing system Update and maintain office policies and procedures Order office supplies and research new deals and suppliers Maintain contact lists Process, scan, and file paperwork Assist with incoming and outgoing mail Perform other administrative tasks as needed Requirements and Qualifications A high school diploma or GED certificate Experience as a front desk receptionist or in an administrative role (strongly preferred) Excellent communication, multitasking, and organizational skills An understanding of basic computer programs, including Microsoft Word, Excel, and Outlook Additionally, our Administrative Assistant responsibilities include making meeting arrangements, preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. Skills Proven experience as an administrative assistant or office admin assistant Knowledge of office management systems and procedures Working knowledge of office equipment, like printers and fax machines Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) Excellent time management skills and the ability to prioritize work Attention to detail and problem solving skills Excellent written and verbal communication skills Strong organizational skills with the ability to multi-task High School degree; additional qualification as an Administrative assistant or Secretary will be a plus Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
