Position Overview:
Provide five-star concierge services for Members and their Guests at Quail West Golf and Country Club. As part of the Membership and Communications team, this position supports the Membership & Lifestyle Director, Member Services Manager, and Member Communications & Engagement Director in enhancing member experiences through personalized service, event support, and communication initiatives. The Member Services Coordinator proactively anticipates the needs of Members, offering solutions before they are requested and personalizing service to meet individual preferences. This role ensures Members are informed of scheduled events, activities, and important updates while also protecting them from unnecessary or unwanted demands. Some holiday work may be required. Requirements:
Provide personal member services of the highest level that may include, but not limited to, restaurant reservations, appointment scheduling, recommendations, and promotion of available Concierge services. Make available literature, and other helpful materials on request. Project an approachable and professional image in personal appearance, manner, and demeanor always. Assure prompt and positive action on all Member complaints, questions, concerns, and suggestions, forwarding to the relevant Department Director as necessary. Acknowledge and greet all Members and guests with utmost courtesy and urgency, moving out from behind the front desk to open doors and assist Members when possible. Recognize and use member names consistently. Assist in creating and scheduling social media posts for Instagram, Facebook, LinkedIn, etc., in collaboration with the Member Communications & Engagement Director. Create and update event flyers and promotional materials as needed to support member engagement. Be consistently knowledgeable about Club events and of local current attractions or events (reciprocal clubs, Beach Club, concerts, theater, sporting events, special events, and more.) Assist with mail and package deliveries. Provide Club access control services and remain vigilant of non-members and their purpose for being on property. Ensure the daily room schedule is prepared accurately and circulated to management in a timely manner. Record reservations for member dining, events, and conference/party rooms. Job Scope:
Recurring work situations with occasional variations from the norm. Job involves a moderate degree of complexity. Operates from established and well-known procedures typically but may have to use a high degree of creativity in meeting the individual needs of residents. Operates independently with minimal supervision. Errors in work may result in dissatisfaction from members and guests.
Interpersonal Contacts:
Contacts are made with others both inside and outside of Quail West. Fulfills the needs of Members by providing services on-site, using both phone and face-to-face interactions. Contacts sometimes contain confidential/sensitive information; position requires the ability to use the utmost discretion.
Knowledge, Skills, and Abilities:
Computer:
Ability to proficiently use Microsoft office, (Word, Excel, and Outlook).
Language:
Ability to read, write and comprehend correspondence, memos, and communicate effectively.
Mathematics:
Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions, and decimals. Ability to compute rates, ratios, and percentages.
Reasoning:

Qualifications:
Prefer two years prior hospitality experience. Some higher education or vocational training specializing in the hospitality industry desired. Good geographic knowledge of the surrounding area. Familiarity with design software (such as Canva or InDesign) is a bonus. Maintain a professional and polished appearance. Have flexibility to work different shifts including holidays and weekends.
Physical Demands and Work Environment:
Frequent interruptions or loud noises may occur. Must be able to reach, bend, stoop, stand and lift up to 25 pounds. Must be able to sit for prolonged periods of time.
