We are seeking a friendly and professional individual to join our team as a part-time receptionist. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing a variety of administrative tasks. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively in a fast-paced environment.
Key Responsibilities:
Greet clients and visitors warmly, ensuring a positive first impression. Manage incoming phone calls promptly with excellent phone etiquette, directing calls to the appropriate personnel. Maintain a clean and organized front desk area and ensure all office supplies are stocked. Schedule and confirm client appointments and manage the front desk calendars. Process client intake forms and maintain accurate records. Handle incoming and outgoing mail and deliveries. Assist with inventory management and ordering office and wellness supplies. Provide general administrative support, including filing, data entry, and document preparation. Collaborate with the team to ensure smooth daily operations. Handle inquiries from clients regarding services offered and provide necessary information. Support other team members as needed, including acting as a personal assistant when required. Ensure confidentiality of sensitive information in accordance with company policies.
Qualifications:
High school diploma or equivalent; additional certification in Office Management is a plus. Previous experience as a receptionist, front desk representative, or in a similar role. Excellent verbal and written communication skills. Excellent organizational skills with the ability to multitask effectively. Professional appearance and demeanor with excellent interpersonal skills is crucial for client interactions. Ability to handle sensitive information with discretion. Familiarity with phone systems and office equipment is essential. Strong computer literacy with proficiency in Microsoft Office Suite or similar software.
