The ideal candidate will be adept at multitasking, possess excellent communication skills, and have prior experience in customer service and office administration. As the face and voice of our firm, the receptionist plays a vital role in creating a positive and welcoming environment for clients and staff alike.
Responsibilities:
Greet and welcome clients, visitors, and staff with professionalism, warmth, and courtesy. Answer phone calls, direct calls, and take accurate messages, ensuring timely and appropriate routing to the intended recipients. Manage the firm’s main email account, responding to inquiries promptly or redirecting them to the appropriate contacts. Maintain the reception area’s cleanliness and organization, ensuring it reflects the firm’s professional image. Schedule and coordinate client appointments, meetings, and conference room reservations. Assist with document preparation, including typing, editing, and formatting legal correspondence, memos, and other materials as needed. Receive and distribute mail, packages, and deliveries. Coordinate with other administrative staff to ensure smooth office operations. Handle confidential and sensitive information with the utmost discretion and maintain client confidentiality at all times. Perform additional administrative tasks and provide support to attorneys and staff members as requested.
Requirements:
Prior experience in a Law Firm would be preferable but not required. Exceptional interpersonal skills with the ability to build positive relationships with clients and colleagues. Strong multitasking and organizational abilities, capable of handling multiple responsibilities and prioritizing tasks effectively. Excellent verbal and written communication skills, including professional phone etiquette. Proficiency in using office equipment, including phone systems, printers, and computer software (e.g., Microsoft Office Suite). Attention to detail and accuracy in all tasks performed. Ability to maintain composure and professionalism in fast-paced and high-pressure situations. Familiarity with legal terminology and procedures is a plus, but not required.
