Patient Experience/Receptionist Hawthorne Oncology Pain Experts (HOPE) Tampa, FL 33607 Hawthorne Oncology Pain Experts (HOPE) is seeking a full-time Patient Experience/ Receptionist to join our HOPE clinical team. The ideal candidate is compassionate, detail-oriented, collaborative with other team members, and self-motivated to perform cross-functional duties. Prior work experience as a medical receptionist is required. Experience leading front office and/or patient experience process improvement efforts are preferred. Qualifications Prior Experience Greater than 2 years experience as a medical receptionist (required) Proficient in Microsoft Office Proficient in ATHENAone EMR/PM Proficient in insurance authorizations Excellent understanding of insurance. Medical terminology knowledge Education Minimum of High school diploma or GED certificate Qualities We are looking for someone to serve as the face of HOPE when patients enter our clinic and to champion our culture of compassionate patient care. To us, this means: meeting and greeting each patient with a warm smile and caring attitude helping a patient navigate the office in a wheelchair serving water to a thirsty patient offering a tissue and support to a crying patient going above and beyond for our patients, every day An ideal candidate is entrepreneurial in nature, comfortable wearing many “hats” as part of the role, and an excellent communicator with both patients and the HOPE clinical team Responsibilities Serve as the face of HOPE when patients enter our clinic, champion our culture of compassionate patient care, and support our mission to meaningfully restore quality of life for our patients so that they can fully cherish the moments in life that matter to them Support the clinical team with front office duties including, but not limited to: Serving as the new patient coordinator and managing the end-to-end process of adding patients to the EMR system (e.g., obtaining insurance authorization and eligibility, maintaining controlled substance and HIPAA agreements, requesting medical records, etc.) Maintaining established patient information (e.g., organizing and distributing faxes, processing release of medical records, etc.) Greeting patients entering the clinic, performing check-ins, collecting co-pays/co-insurance/deductibles, and updating patient information (as required) Performing patient check-outs and setting follow-up appointments (as required) Managing day-to-day office operations including coordinating staff and contractor schedules, maintaining inventory of non-medical supplies (e.g., office/ breakroom/restroom supplies), managing incoming calls and mail, ensuring cleanliness/tidiness of all shared spaces, etc. Supporting marketing efforts and drafting communications to HOPE’s valued network of patients and partnering physicians (e.g., clinic-wide updates, holiday cards, etc.) Answering phones promptly and ensuring that our team is following up with patients promptly Assisting our clinical team in providing coverage of HOPE’s “Cancer Care & Hospital” line during normal business hours. HOPE provides 24/7 call coverage for cancer patients, post-procedure patients, pump patients, and hospital consults. Responsibilities include answering calls during normal business hours (as required), obtaining pertinent patient information, and relaying messages to the clinical team. Suggesting and leading continuous improvement efforts related to front office responsibilities and overall patient experience Ensuring that all processes related to patient care are in line with our values at HOPE and adhere to all federal, state, and accredited body regulations Drafting and updating HOPE standard operating procedures related to patient experience and front office lead responsibilities (as required) If interested, please submit your resume separately in word or pdf format.
