Guest Services Attendants are the front-line staff in the Parks, Recreation, and Conservation venues. They provide exceptional service to guests by addressing their inquiries, concerns, and needs, ensuring a positive and welcoming experience. This role requires proficiency in office procedures, organizational skills, use of computerized point-of-sale systems, and the ability to interact effectively with guests, staff, and management. The ideal candidate will possess excellent organizational skills, the ability to interact with guests in a friendly and professional manner, and proficiency in office-related tasks such as document management, data entry, and the use of office technology.

EXAMPLE OF DUTIES

Greet and assist guests upon arrival, ensuring a warm and professional first impression.

Respond to guest inquiries via phone, email, and in person, providing accurate information and resolving concerns in a timely manner.

Maintains records, logs, and files, ensuring accuracy and confidentiality.

Process guest requests for services, including reservations, account profile setup, and activity/program enrollment.

Operates the County’s point of sale system to enroll guests in programs/activities, process payments, add programs and classes, write detailed class descriptions, and link information to the County’s webpage.

Operate office equipment, including computers, printers, and telephones, to assist in daily operations.

Prepare and format reports, invoices, correspondence, and other documents as needed.

Record and update invoices or payments in accounting system to ensure accurate posting and reporting of financial transactions.

Use computer programs (word processing, spreadsheets, online point of sale, Munis) to update and manage guest/staff/venue information, schedules, and communications.

Follow office policies and procedures to ensure smooth operations and adherence to standards.

Maintain an organized workspace and ensure all logs and records are kept up-to-date and accurate.

Handle guest complaints and issues with professionalism and discretion, working to resolve problems in a positive manner and provide feedback to supervisors.

Prepare and distribute correspondence, reports, and internal communications to staff and management.

Maintain a professional appearance and demeanor, representing the County positively in all interactions.

Performs light housekeeping duties and other duties as assigned.

SUPPLEMENTAL INFORMATION ENVIRONMENTAL CONDITIONS

The successful candidate for this position can expect work to be normally performed inside an office environment. The successful candidate should be able to periodically lift/carry fifteen pounds of weight. The successful candidate may be required to perform occasional outdoor work during special events or site visits which may require safety equipment such as hearing and eye protection, which will be provided.
