Job Description:

The Receptionist/ Administrative Specialist is responsible for greeting visitors, answering phones and provide administrative support to the office. The candidate reports directly to the Senior Administrative Manager. They will assist the Assistant Property Manager and the Senior Community Association Manager and tending to the needs of the community residents. Client Support Answer in-coming calls Greet and assist visiting clients Respond to all client communication Provide documents and forms as requested Provide Insurance Agent contact info when requested Forward requests as appropriate Collect Payments Process incoming mail Bring mail to local Post Office daily Assist the CAM and APM with the following tasks: Board of Director Meetings Notice Mailings Meeting Preparation Annual and Organizational Meetings Notice Mailing Meeting Preparation Attend Meeting to assist with sign-in, ballot and proxy counting Budget Meeting Vendor Mailing Notice Mailing Meeting Preparation Report any issues or concerns immediately to the CAM and APM Administrative Functions Process Warranty Deeds/Welcome Letter Scan and Save to Caliber Mail Welcome Letter Data entry and Record Updates Resident Info Sheet Certificate of Appointment of Voting Representative Email Authorization Directory Consent E-Voting Authorization Record Email Authorizations and Voting Representatives on related spreadsheets Community information File appropriately to the Share Drive Upload as necessary to Caliber Process Sales Applications Process Lease Applications Process ARB Applications Process Maintenance requests: Create workorders Distribute to vendor Follow-up and update record Process Violations Follow-up and update record

Miscellaneous:

Read and comply with the Real Manage and Keystone Property Management Group’s Employee Handbooks All other tasks as assigned by manager(s) High school diploma or GED required. An associate’s degree is preferred. Excellent verbal and written communication skills, including the ability to effectively communicate with internal and external customers. Excellent computer proficiency (MS Office – Word, Excel, and PowerPoint). Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service. Ability to work independently and to carry out assignments to completion within the parameters of instructions given, prescribed routines, and standard accepted practices.

Pay and Benefits:

$22.00 /hour to $24.00 /hour, depending on education and experience.
