The position is full-time (Monday thru Friday from 8:00am to 5:00pm) with competitive pay and excellent benefits.
Summary:
Responsible for assisting residents and ensuring services are conducted and fulfilled in a manner consistent with the goals and objectives of Leland and the Board of Directors based on the association’s needs.
Duties and Responsibilities:
Answers the telephone and directs calls to the requested parties. Greets and assists guests, customers, and any other visitors who enter The Horizon Center. Compose and type emails, forms, and other correspondence as needed. Complete various administrative tasks and special assignments as directed by the Executive Assistant. Directs UPS, FedEx, Postal, and other supplier deliveries. Maintain cleanliness and organization of the lobby area; take initiative to ensure a welcoming environment. Monitors facility relative to enforcement of Recreational Rules & Regulations to ensure safety and enjoyment of residents and guests. Ensure opening and closing procedures are followed when securing and locking up the facility. Operate office equipment, including fax machines, copiers, and printers. Processing New Homeowner, Renter, and Non-owner paperwork to follow through to completion. Computer programs such as Resident Database, Outlook, and Paylocity. Weekly Deposits, balance and reconcile ledgers for faxes, copier, Resident ID, and barcodes. Assist the Executive Assistant as necessary. Maintain forms and signage. Communicate daily with the Executive Assistant. Complete incident reports.
Education:
High school graduate or its equivalent.
Experience:
Two years’ former clerical experience. Computer skills are a must.
Reasoning Ability:
Must have the ability to solve problems involving several variables in given situations and interpret a variety of instructions provided in written and/or oral form. Must be able to demonstrate effective interpersonal skills, sound judgment, and decision-making. Must be able to utilize mathematical skills, including the ability to add, subtract, multiply, and divide. Must be able to accurately perceive, comprehend, and analyze situations, data, and incidents.
Physical Demands:
Must be able to stand, walk, sit, talk, and listen. Must be able to use hands and fingers to handle computer work and paperwork. The employee must be able to lift and/or carry up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, and color vision.
Work Environment:
Must be able to work alone without supervision and work well with others. Must have verbal and face-to-face contact with others. Must be able to work the necessary hours required to perform the job to its full capacity. Will coordinate vacations in accordance with company requirements and schedules.
