Full Job Description Job Review:
We are seeking a highly organized and detail-oriented Medical Office Administrative Assistant to join our oncology practice in a back-office role focused on financial and administrative support. This position plays a vital role in managing invoices, payments, and banking tasks, helping to ensure smooth financial operations behind the scenes. This is not a patient-facing or clinical charting position.
Responsibilities:
Process, file, and organize incoming invoices, payment records, and related documentation Track and reconcile payments from patients, insurance companies, and third-party vendors Prepare and make bank deposits in accordance with office protocols Maintain and update internal records of accounts payable/receivable Communicate with vendors regarding billing questions, discrepancies, and payment statuses Assist with monthly financial reporting and reconciliation tasks Ensure compliance with office financial procedures and support audits or reviews as needed Coordinate with the billing team and external accountants as necessary Maintain confidentiality and security of sensitive financial and business data Perform general administrative duties such as scanning, filing, data entry, and document preparation
Qualifications:
High school diploma or equivalent required; associate degree or certification in medical office administration, accounting, or a related field is a plus 1-2 years of experience in a medical office or administrative setting, preferably with financial or billing responsibilities Strong understanding of basic bookkeeping and office financial processes Proficient in Microsoft Office, particularly Excel and Outlook; familiarity with accounting software is a plus Highly organized with strong attention to detail and accuracy Able to handle confidential information with integrity and professionalism Self-motivated and comfortable working independently in a supportive team environment
