CFCE is constantly evolving to better support our community. As a Front Office Assistant your key responsibility is to provide quality customer service to the children and families we serve, visitors and staff. This is a professional administrative position with the responsibility of performing complex clerical and administrative work of a diverse nature. The Front Office Assistant will perform various specialized administrative duties which require in depth knowledge of the organization, policies of the program and general knowledge of other agency programs. Work performed generally involves specialized/technical subject matter and may require familiarity with the terminology used in the assigned program area. Functions Include:
Greet clients, staff and visitors and inquire as to the reason for the visit and advise relevant staff. Grant access to the building to staff and escorted clients and visitors. Obtain initial authorization for all new clients and ongoing services requiring authorizations. Input all referral information to 10E11. Verify insurance on a daily basis for scheduled appointments Responsible for registering explaining and obtaining signature from legal guardian on required forms, get copy of guardian’s ID and insurance card. Receive incoming telephone calls for the Agency and forward calls to appropriate persons or take a message. Answer general questions from the general public and refer to appropriate program/staff when applicable. Re-direct inquiries from regulatory/county agencies and/or media to the Executive Assistant and/or COO and/or CEO. Schedule new clients for intake appointments including reschedule appointments. Conduct appointment reminder calls to clients’ parents, caregivers and/or full-case managers. Ensures that patients, family members or other clients are treated with concern and empathy; respecting their confidentiality and privacy and communicating with them in a courteous and respectful manner. Maintains a favorable working relationship with other employees to foster and promote a cooperative and harmonious working climate which will be conductive to maximum employee morale, productivity and efficiency.
Minimum Education/Experience:
High School Diploma and/or Associate’s Degree. A minimum of one year of customer service experience. One year of front desk experience in the hospitality industry
Skills Needed:
Behavioral Health knowledge and experience preferably. Ability to solve client issues in a friendly and timely manner Must be detail oriented and possess excellent organizational, communication, skills. Must be computer literate, with proficiency in Windows, Microsoft Word, Outlook, Excel and spread sheet applications. Ability to perform at a high level of autonomy or with minimal supervision. Strong organizational skills and ability to handle multiple tasks. Ability to communicate effectively, orally and in writing. Ability to set appropriate limits and boundaries with clients. Strong verbal and written communication skills.
