POSITION SCOPE

The Receptionist professionally answers and accurately directs phone calls greets clients and visitors positively, maintains the programming and maintenance of the telephone system, and obtains professional assistance as needed. The Receptionist also performs light word processing and data entry projects as required or requested. The Receptionist meets agency service standards of time and quality.

PERFORMANCE, ABILITIES AND STANDARDS

Answer incoming calls positively and warmly. Route calls to appropriate people courteously and professionally. Answers clients’ non-insurance inquiries as needed or directs the investigation to the person best able to respond. Takes and delivers accurate phone messages, written and promptly relays messages to the proper person. Greets incoming clients and visitors in a friendly and positive manner Maintaining a neat and tidy reception area and a professional, comfortable general office atmosphere. Collects and distributes mail neatly and accurately for agency personnel to the Office Manager, Administration, and/or Human Resources. Census Data retrieval regarding the participation of various Administration and HR Reports. Direct visitors who are waiting to visit agency staff. Performs other tasks and duties as requested or required.

Human Resources function:

Send out employee applications and follow up as necessary in the on-boarding process. Confirmation of Orientation attendance and Coordination of Orientation process Audit and Complete Applicant file data entry before the date of Hire. Perform filing, data entry into HR systems (Wellsky), and clerical duties relevant to HHA and Housekeeping files. Schedule meetings with aides, Update appointment calendars, and Schedule follow-up appointments with HR. Mail out HR Letters to aides via certified or regular mail Train Aides on the use of the Wellsky Mobile App and ADP Mobile Follow up with Aides regarding the Expiration of Documents Send out HR Forms to aides via DocuSign (Leave Requests, Address Changes, Direct Deposit, etc) Give Aides badges and issue paychecks, calendars, time-sheets, and supplies.

POSITION QUALIFICATIONS, EDUCATION

High School Diploma or equivalent, computer keyboarding skills, effective communication skills, friendly and outgoing personality, organizational skills, and ability to respond to requests effectively and efficiently. Ability to learn computer programming of the telephone system and to understand when and how to gain professional outside assistance as appropriate needs arise. Understands and can perform basic office practice skills, including filing, light typing, processing, and sorting functions. Can carry out detailed written or verbal instructions. Add, subtract, multiply, and divide whole numbers, and perform simple calculations involving decimals and simple fractions. Ability to file, post, sort, or prepare mail projects. Can copy data from one source to another, obtain information from others, and deliver information to others clearly and accurately. The minimal physical efforts required to perform the position include fingering as a repetitive activity, grasping, verbally communicating detailed and important information to others accurately and quickly, stooping, reaching, standing, and lifting light objects less than 10 lbs. Reasoning Ability Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills:

To perform this job successfully, an individual must be computer literate in Word. Excel and PowerPoint Other Skills and Abilities Bilingual (English/Spanish/Creole), with empathy and kindness toward geriatric patients, is required.
